Job Summary:
Marvel Television is seeking an experienced Office Manager to join our organization overseeing our corporate offices in Glendale, California. This multi-faceted position is responsible for the overall management of our office operations, including facility maintenance, vendor sourcing, space planning, crisis management, HR and Executive support, and support for special and corporate events.
Responsibilities:
• Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision; well organized, with strong communication and collaboration skills supporting multiple business units and diverse teams
• Manage space planning across 50,000 sq. ft building
• Manage projects in concert with New York Headquarters management team
• Enforce office readiness and professional presentation of facilities
• Project manage office renovations and relocations with Disney Facilities and vendors for maintenance of properties and building upgrades
• Coordinate with Disney Fire for maintenance and testing of fire suppression systems, fire drills and fire code compliance
• Crisis Management Team Leader, participate in personnel safety drills, building safety planning, emergency procedures, processes and special projects
• Manage electronic access control systems across Los Angeles corporate properties
• Manage telecommunications equipment and facilitate system acquisition and support with ATOS for troubleshooting/management across Los Angeles locations
• Manage office supply/equipment inventory, support business unit purchasing requirements
• Manage and maintain up-to-date equipment records and contracts (isn't his IT?)
• Manage secure, onsite shredding program
• Supervise and enforce facility parking allocations and access
• Partner closely with Marvel's NY HR team assisting with new hire paperwork, ID cards, business cards, service recognition, special projects, and terminations
• Hiring, training, and supervision of Office support staff
• Secure proposals for facility and security services for facility maintenance and special events on an as-needed basis
• Support Security Director and provide guidance to office personnel for compliance of company security policies at all times
• Assist in providing security awareness training and policy requirements at show kick-off meetings for cast, crew and management
• Proactively initiate communications to staff – including security signage and memos
• Manage interaction with Disney corporate security for CCTV review, incident response, access control systems, and alarm systems
• Participate in physical security site risk assessments of offices to identify vulnerabilities and develop risk mitigation strategies
• Liaise with vendors and internal partners to identify, report, and remediate issues related to building integrity, safety and security
• Demonstrate creative thinking and approach to improve operations through new services and technologies that may be available
• Assist with physical security planning and execution at various local events, including but not limited to red carpet premiers, screenings, etc.
• Manage catering for executive meetings, special events and weekly breakfasts
• Occasionally work non-standard shifts and/or on-call to support the requirements of the organization
Basic Qualifications:
• Must have a commitment to maintain confidentiality and integrity of information
• 5 years Office and Facilities management experience (TV production knowledge a plus)
• Must be highly proficient with Microsoft Office Applications (Word, Excel, PowerPoint, etc.)
• Strong written and verbal communication skills
• Strong project management experience with attention to detail and follow-up
• Must have strong organizational skills to maintain multiple tasks and the status of each daily
Required Education
• Undergraduate degree or equivalent experience desired
• Facility and Film/TV production security background a plus
