Job Description:
Marketing Factory is in search of a reliable, well-organized Bookkeeper + Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Bookkeeper + Office Manager combines excellent analytical skills with a thorough knowledge of accounting principles to process and record transactions. Candidate should also have experience in handling a wide range of administrative and executive support related tasks, must be well organized, flexible, extremely detail oriented. Candidate will be responsible for streamlining administrative procedures, inventory control, office staff supervision and task delegation. We're looking for an energetic professional who doesn't mind wearing multiple hats.
Bookkeeper Duties: (for both the company and CEO personal)
• Full charge accounting
• Handle accounts payable
• Process all vendor invoices
• Input all credit card transactions into QuickBooks
• Serve as the point person for credit card transaction collection
• Scan and electronically file documents, including all receipts
• Deposit checks
• Maintain financial records in QuickBooks
• Bank Reconciliations/credit card reconciliations
Office Manager Duties:
• Oversee office supplies and inventory
• Ensuring the professional appearance of physical facilities
• Coordinating the maintenance of office equipment and monitoring maintenance agreements
• Managing receptionists and assistants
• Assist with hires
• Maintaining office files, including accounting files, general ledger files, employee files
• Other financial/administrative duties may be assigned as needed
Job Requirements:
• 3+ Experience in Accounting/Bookkeeping
• Demonstrated proficiency in QuickBooks
• Proficiency in MS Office, Excel and Outlook
• Ability to multi-task and prioritize work
• Attention to detail and problem-solving skills a must
• Strong organizational and planning skills
• Knowledge of basic accounting (debits, credits, financial principles, reconciliation)
