Job Title: Promotional Events Coordinator
Reports To: Director of Promotional Events
FLSA: Hourly Non-Exempt
Job Purpose: To coordinate Cincinnati Reds promotional events including acting as lead coordinator for Reds Fan Zone activation.
Essential Duties and Responsibilities:
• Work with all departments on Reds events both internal & off-site, but extensively responsible for Reds Fan Zone activation:
• Events include various Opening Day festivities, Kids Opening Day festivities, season ticket member events, concerts, Reds Community Fun events, Reds Hall of Fame events, Redsfest, the Reds Caravan, & other events as assigned
• Managing, coordinating and executing special events, conferences, administrative projects, etc, including:
• Budget, schedule and details of an event plan; including floor plans and collateral needs
• Serve as primary liaison to vendors on the development of booth or meeting floor plans, coordination of set up and tear down of events
• Responsible for coordinating registrations and attendee lists
• Maintain event cost estimates
• Prepare purchase orders for payment of event materials
• Coordinate and/or execute mass mailings of event materials
• Manage event staff when necessary
• Manage all aspects of the Reds Fan Zone including but not limited to:
• Reds Music Series
• Carnival Games
• Miscellaneous entertainment performers
• Special nights such as Zoo Night, Bark in the Park more
• Assisting in sponsor promotional vendor activations
• Assisting in Reds theme night promotional activations
• Co-manage the Promotional Events Gameday interns and Reds Rally Pack; assist in making schedules & payroll
• Assist in writing Public Address scripts under the direction of the Vice President of Promotional Events & Productions
• Managing the fan text contest campaigns, scoreboard messages & memories services and any related or general promotional events related customer service issues
• Assist in execution of select pregame ceremonies, in-game promotions, and post-game events
• Serve as the on field pregame field producer on select games under the direction of the Promotional Events manager
• Manage the scheduling of National Anthem & God Bless America performers and Honor Guards for Reds home games
Experience, Education and Licensure
• Bachelor's degree in sports marketing or related field
• One to five years of event planning and one to five years' experience in customer service required
Knowledge, Skills and Abilities:
• Excellent computer skills including data base knowledge
• Strong organizational and writing skills required
• Ability to research, analyze and synthesize large amounts of data
• Ability to manage others
• Ability to work concurrently on a variety of projects and work effectively under pressure
• Ability to work independently
• Ability to work overtime including nights, weekend and holidays to meet deadlines is essential
• Willingness to assist others with courtesy and cooperation; strong customer service skills
• Reliability and dependability is essential
• Must be willing to travel when necessary
