Job Summary:
We are looking for a supportive and proactive team member who reflects the innovative spirit, creative talent, production excellence, collaborative mindset and passion for great storytelling that defines Lucasfilm.
The Production Assistant / Editorial Technician provides overall administrative and project management support to the production team at LVP.
Responsibilities:
• Support the Production team in daily activities, assist in production tasks and errands, and be the go-to person for general needs of the crew.
• Assist with production days: book crew, research locations, prep call sheets, communicate with crew, and assist during the shoot as needed with gear rentals, transportation, and set-up.
• Manage source files / assets for editorial: request assets from partners and external vendors (videos, stills, project files, graphics, audio), organize files on the network and in the avid, import files into the avid, and communicate with editors and producers when files are available.
• Handle physical and digital deliveries of project files, equipment and information. Record/track all delivery details.
• Organize source files on the network. Ensure the files are saved in proper locations with proper naming conventions. Maintain online file repositories (box.com, etc.).
• Under the guidance of the Producer and Production Coordinator, update project task boards and tracking databases.
• [SPECIFIC TO ALEXA] Assist team's graphic artist with motion graphics as needed.
• Assist the department coordinator with note taking, distributing project information, and project research/information gathering as directed.
• Schedule internal and external meetings (incl. shoot days, client reviews, conference calls, etc.); book resources and acquire materials for meetings. Work to assemble attendees for a timely start of meetings. Monitor department calendar and mitigate schedule conflicts.
• Set up space and equipment for meetings and reviews. Troubleshoot conference room/review station issues to ensure timely start and smooth operation during meeting/review.
• Create and maintain various production documents, including onboarding documents, training/how-to manuals, etc.
• Maintain crew, client and vendor contact lists, and help set up vendors with Business Affairs and Finance by requesting all necessary paperwork.
• Create music cue sheets for finished projects.
• Transcribe interviews and/or final reels.
• Organize ergo breaks, team events, birthday celebrations, and purchase craft service / order meals for shoot days, meetings, and overtime.
• Organize production travel and complete expense reports. Handle purchase requests as needed.
• Maintain LVP space and equipment in functioning order. Liaise to support departments to obtain help and resources as needed.
Basic Qualifications:
• Bachelor's degree or equivalent work experience
• At least one year of professional production experience in features, streaming shows,, marketing, creative content, animated television, or applicable entertainment industries.
• Superb communication skills (written, oral, and interpersonal)
• Exceptional organizational and computer skills
• Excellent time management with the ability to troubleshoot and solve problems
• Ability to anticipate issues or concerns
• Must be able to work in a fast-paced environment, juggling multiple projects, while meeting hard deadlines
• Detail-oriented
• Must be willing to work adjusted hours when necessary
• Professional demeanor and ability to interact with employees at all levels of the company.
• Must have the ability to juggle multiple projects, work with diverse personalities and work within strict deadlines.
• Attention to detail, follow through and strong communication skills.
