Loyola Marymount University has an opening for a full-time Academic Affairs Associate in the School of Film and Television. Under minimal supervision, this position provides specialized support for the Dean's office, departmental, or program areas. This position will interact with staff, faculty, and department leaders to ensure the success of School programs. The position also performs analytical support for the Dean's office while exercising initiative, discretion, and judgment.
The Academic Affairs Associate- SFTV will provide time management support by prudently allocating the Dean's time, exercising evaluative and discerning judgment about the priority and urgency of the many requests incoming from faculty, staff, students, other LMU administrators, alumni, parents, and industry contacts. Plan, coordinate, and arrange meetings. Make travel arrangements. Reserve locations, prepare agendas and related materials, and attend meetings as needed to record minutes or summaries for distribution. This position will uphold the utmost confidentiality regarding meeting content and other highly sensitive information, such as personnel issues, grievances, finances, and donor relations. Serve as point of contact between the Dean and other university stakeholders and produce communication on their behalf. Prepare presentations and other visual aids for the Board of Trustees, donors, and other high level executive meetings. Work closely and coordinate with Director of Development to support fundraising and advancement-related meetings and priorities. The Academic Affairs Associate- SFTV will manage the hiring, appointment, promotion and tenure processes on behalf of the Dean for tenure-track faculty positions, including generation of offer letters, dossier preparation, and tenure conferral; assure that communications with division chairs, deans, candidates and others are positive and respectful. Administer operations for Office of the Dean. Assist in the resolution of critical issues efficiently and help ensure productive outcomes.

We seek candidates who typically possess a Bachelor's Degree or equivalent experience. Preferably in Higher Education Administration, Communication, Entertainment Management, or related field. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes. Minimum of 6 years related job experience in progressively responsible positions, preferably in higher education and/or the entertainment industry. Ability to relieve the Dean of routine details and exercise initiative and independent judgment in their absence. Highly developed organizational and communication skills. Ability to assess, prioritize, motivate, and plan the flow of work on a weekly and daily basis to meet multiple and varying deadlines; ability to delegate and oversee quality delivery of assignments to student workers; and ability to maintain a rigorous and detail-oriented approach to tasks while managing a heavy workload and juggling conflicting priorities. Ability to exhibit a high level of patience, integrity, discretion and professional decorum in all interactions is essential. Excellent writing, editing and proofreading skills, including use of correct grammar, spelling and punctuation; ability to produce correspondence and other written materials that reflect the high standards and professionalism of an executive office with a high level of precision and clarity to a range of audiences. Strong computer skills in Microsoft Word, Outlook, Excel, PowerPoint, and Teams. Expertise in desktop publishing and presentation software. Proficient in Mac OS X and PC systems. Knowledge of the relative roles of faculty, staff and administrators, and the protocols for communications and interactions between these parties in the university environment.
