Overall Objectives:
Our busy, client focused office needs a reliable, well organized Office Coordinator to handle day to day operations with a focus on efficiency and time management. This position reports to Human Resources with a dotted line to the President & COO. This is a non-exempt position.
Essential Duties and Responsibilities
• Answer main phone line, direct caller to appropriate staff member. Provide caller with general information when appropriate. Keep greetings current on the voicemail.
• Gatekeeper for front office, assist and direct all visitors.
• Process invoices and manage vendor relations. Drive cost savings by negotiating trade deals with vendors.
• Disseminate information to staff as necessary.
• Maintain office equipment (IT, copier, phones, postage, printers); act as liaison with maintenance vendors, call for service when needed, etc. Procure quotes for new equipment as need arises, meet with company representative and provide a report to the President and COO.
• Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
• Sort and distribute mail. Prepare mail and packages for pickup, weighing and calculating postage and charging to the correct department. Reconcile the postage account at the end of each month, transfer money into the postage account as needed.
• Organize and maintain tidiness in office common areas.
• Type reports, memos, letters and other documents.
• Record meeting minutes and create and distribute actionable items for executive management.
• Perform general office clerk duties and errands.
• Maintain executives' calendars by planning and scheduling meetings, conferences, teleconferences and travel.
• All other duties as assigned.
EDUCATION AND EXPERIENCE
• Bachelor's degree in Communications, Sports Administration.
• Three years of administrative experience supporting senior management.

• Proficient with various Microsoft applications including, but not limited to, Word, Excel, PowerPoint and Outlook (email and calendaring).
• Excellent organizational and time management skills.
• Superior project management and problem-solving skills with impeccable multi-tasking abilities.
• Warm personality with strong communication skills.
• Keen attention to detail.
• Friendly and professional demeanor, exhibiting diplomacy and discretion.
• Passion for the sport of basketball.
• Ability to work nights, weekends and holidays.
WORK ENVIRONMENT
This job operates in a professional office environment. Office hours are typically Monday – Friday from 9:00 AM – 5:00 PM. In addition to working office hours staff are required to work Sparks home games, in addition to external events including but not limited to: charity and networking events. Work is generally sedentary in nature. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available. This job also operates in a sports arena which includes bleachers/steps.
