The Role:
The Executive Assistant will provide a full range of administrative support to our Executive in a very demanding environment, including taking high-priority stakeholder calls, scheduling meetings, maintaining calendars, making travel arrangements, processing expense reports, and running personal errands. The role will also have the opportunity to gain insight and experience in the discipline of Communications by supporting the broader Corporate Communications team with key tasks and special projects.
Specific responsibilities include but are not limited to:
- Proactively manage both personal and professional calendars, including coordination among global communications team
- Manage meeting logistics including booking and preparing rooms, creating materials, organizing catering and taking notes
- Coordinate all domestic and international travel logistics including flight itineraries, hotel rates and reservations, car services, with personal travel preferences
- Serve as liaison between the executive and external/internal clients
- Help manage and route incoming inquiries to appropriate stakeholders
- Facilitate e-mail and other communication to company's global employee base
- Conduct research for various corporate priorities and initiatives
- Serve as a strategic ''gatekeeper'', appropriately prioritizing access to the executive's time
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Arrange and organize internal and external events such as company dinners and corporate functions
- Run personal and business errands
- Ensure that expenses are processed correctly and in a timely manner
- Responsive to calls and texts at all agreed upon times
- Anticipate needs and be proactive with solutions
- Support the related administrative needs of Corporate Communications team
Requirements:
- Bachelor's Degree required
- Experience supporting high-level executive required, basic knowledge or experience in communications/PR highly valued
- Savvy and able to work through difficult situations
- Must have an impeccable attention to detail
- A quick-learner solver who is also open to feedback and growth
- Able to work in highly demanding environment while being able handle varying personalities and work styles with grace and tact
- Must have a high level proficiency in Outlook and Microsoft Office Suite and Mac
- Strong written and oral communication skills
- The ability to independently, manage one's time and prioritize multiple tasks in order to meet associated deadlines
- The drive to take initiative, work independently and be accountable while also working as a team player who is collaborative, positive and flexible
- Able to work flexible and long hours including some late nights, and occasional weekends
- Driver's license
