Administrative Assistant - SVP, Development
Job Summary: The Levity Content Development Team develops, produces, and sells unscripted original content to linear, streaming, and digital platforms. The team is seeking an Administrative Assistant to provide support to the department and the SVP of Development. The ideal candidate will be someone who is interested in unscripted content development, exudes patience and positivity, is proactive, and is a team player.
Responsibilities:
• Maintain the SVP's calendar, book all travel, and manage logistics connected to travel.
• Prepare, review, and organize agreements, reports, contracts, and other documents as needed.
• Maintain communication and reporting between the SVP and team, organization at large, and third party vendors as necessary.
• Screen and respond to incoming calls and emails.
• Can handle the company's high volume output and help manage next steps and follow up.
• Identify ways to enhance executive productivity and organizational effectiveness, propose and help drive execution of solutions
• Process all travel and departmental expenses.
• Willing to help organize and create documents ranging from spreadsheets to treatments.
• Willing to help prepare for editorial work.
• Proofread written documents and spot check edited materials for grammar, flow and spelling.
• Manage last minute tasks and changes with little to no direction. Looking for someone to always be one step ahead on scheduling and identifying potential issues.
• Assist in composing agendas for meetings and setting conference rooms for meetings.
• Takes notes and distributes meeting minutes, agendas and meeting packages.
• Handles all duties with grace, sophistication and professionalism.
• Ability to learn new tasks quickly and efficiently.
Minimum Qualifications:
• Minimum of 2 years in an administrative support role.
• Previous experience working for a development or production executive preferred.
• High attention to detail and ability to accomplish tasks and projects as assigned.
• Quick learner with strong organization skills.
• Excellent verbal and written communication skills with proven ability to manage various writing projects.
• Ability to maintain positive attitude and manage situations as well as people on the fly a must. Looking for someone with a solution based mentality.
• Ability to work independently and in a team environment.
• Proficiency in Word, Excel, PowerPoint, Outlook email and calendars. Knows or is willing to learn Adobe Photoshop and Avid.
