Job Overview
The Institutional Giving Coordinator will report to the Director of Advancement and is responsible for supporting the Institutional Giving team through administrative functions, proposal and reporting assistance, and ancillary tasks associated with the primary responsibilities.
Primary Duties/Responsibilities:
60% Administrative Support
• Coordinate funder meetings (i.e. scheduling, catering, developing briefing materials, and drafting agendas)
• Organize and maintain tracking documents (i.e. grant calendar, login information, contacts, grant lists, organizational profiles in fundraising databases, and others, as assigned)
• Prepare acknowledgement letters and other correspondence for institutional funders, including drafting materials for executive level staff
• Act as interdepartmental liaison with other teams, including maintaining and distributing interdepartmental reports, as assigned
• Collect and prepare supplementary materials for proposals and reports
• Manage the execution and tracking process for grant contracts
• Invoice government grantmakers
• Proofread materials, as assigned
30% Grant Writing
• Grant writing assignments (i.e. prepare proposals and reports for renewal grants, monthly CPB reports, and other assignments as directed)
• Prospect for new grant opportunities through databases, funding newsletters, leads provided by individuals, and other sources
10% Other
• Schedule phone calls and meetings with funders and Institutional Giving staff
• Provide support for special events, as requested
• Engage in professional development (i.e. attend conferences, webinars, workshops, etc.)
• Attend meetings as assigned
• Other duties as assigned
Education
and Work Experience:
• Two or more years of direct fundraising experience (institutional giving preferred)
• Combination of experience and education will be considered
Other Skills
• Excellent written and verbal communication skills
• Excellent organizational skills
