Job Overview
This Chief of Staff will work directly with the Chief Executive Officer and the Chief Operating Officer. This position will be responsible for organizational functions, strategy, and operations. The ideal candidate will have extensive knowledge and understanding of overall departmental function. The Chief of Staff will provide guidance and act as the liaison for internal and external stakeholders. The Chief of Staff will assist leadership with organizational recommendations and strategic initiatives.
Primary Duties/Responsibilities:
Executive Office Support
• Build and lead the daily operations of the Office of the CEO, COO and Executive Office
• Work with all parts of the organization to provide and coordinate analysis, recommendations, and options to Executive officers regarding high impact decisions; track high priority initiatives for the Executive Office to identify any/potential obstacles
• Collaborate and support Executive Office with Board management, governance, and board member interests and special requests
• Manage key relationships and stakeholder engagement, and build a process to track and nurture key stakeholders, key major funders and donors, and key community and state leaders
• Coordinate and manage the Executive Office and organizational leads efforts with key public media organizations and within the public media system
• Acts as an Executive Office principal liaison and responds to inquiries from stakeholders and various interest groups
• Communicate with executives on decision-making, program management, and initiative implementation; help determine key performance indicators and update dashboards as needed.
• Direct the development and delivery of communications materials and collateral from the Executive Office; support company newsletters, all staff emails, reports, pitch decks, and presentations
Strategy, Operations and Special Projects
• Oversee strategic initiatives from development through successful execution under the guidance of senior leadership; create metrics for success; revisit metrics regularly and evaluate progress against them
• Lead large, often cross-functional, organization-wide projects or initiatives; facilitate special projects, bring together important stakeholders, help drive decisions and ensure action items are executed on behalf of the executive office
• Operate at a tactical, strategic, and operational level, handling the oversight of projects that do not neatly fit within the organizational chart or that fall between departments or leadership areas of responsibility
• Identify and improve current processes and coordinate organizational procedures for optimized efficiency and productivity
• Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations, and help to define new operational strategies, working with CEO, COO and executives on special projects
• Research, perform benchmarking, analyze data, and make recommendations; propose the creation of new systems and processes to streamline operations.
• Serve as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications
Company Culture & Staff Management
• Serve as liaison between staff, executives, senior leaders, and CEO and COO, regarding company climate, employee well-being, project updates, proposals, and planning
• Collaborate with human resources department on employee driven and organizational culture building initiatives
• Organize all staff gatherings, company retreats, conferences, cross-functional working groups, and other special events.
• Collaborate on hiring, training, and mentoring staff at all levels, as needed
Minimum Qualifications
• Bachelor’s Degree in Business, Communications, or Organizational Development (Master’s Degree preferred)
• 5-7 years of proven management experience organizing and directing multiple teams and departments
• Excellent communicator in written and verbal form
• Extremely versatile; dedicated to efficient productivity
• Experience planning and leading strategic initiatives
• Demonstrable experience managing high-profile projects
• Experience with data analysis; experience translating data to action
• Experience with project and budget management
• Consulting experience with a focus on operations management
• Proven success in a project management role
• Nimble business mind with a focus on developing creative solutions
• Strong project reporting and decision-making skills, with a focus on interdepartmental and external communications
• High level of emotional intelligence and ability to excel in people management
• Ability to achieve and maintain consensus among diverse groups
