Kargo is looking for a super energetic and meticulous Executive Assistant to support our CEO. We are looking for someone who can manage a busy life and the day-to-day with grace under pressure. The business relies on the organization and reliability of those that you support. You will have direct access to leadership and an invaluable education in AdTech and growing a successful business.
Executive Assistant Objectives of this Role
Maintain and refine internal processes that support to the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
Plan and orchestrate work to ensure the senior executives' priorities are met, organizational goals are achieved, and best practices are upheld
Schedule meetings with CEO and CMO's of Kargo clients and industry professionals
Interface and execute all high level communication with all parties involved with Kargo's M&A activities. This includes lawyers, accountants, third party advisors, and all internal Kargo members working on the transactions. Responsibilities also include making sure our CEO has eyes on all of the contracts, signs everything that is needed, and all documents remain organized and filled.
Personal Assistant Objectives of this Role
Arrange family travel which includes booking flights, hotels, restaurants, activities, and compiling detailed itineraries.
Liasoning with the entire Kargman family.
Meticulous maintenance of all personal and professional accounting work pertaining to Mr. Kargman and his family. This includes but is not limited to, his taxes, trusts and estates, all finances as they relate to Kargo, and his personal investments.
Upkeeping the personal family calendar.
Adding/amending the personal family holiday list.
Submitting claims to health care.
Working with the house manager to ensure that all matters related to the home are in order.
Paying bills and managing the checkbook with Mr. Kargman's support and approval.
Daily and Monthly Responsibilities
Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
Manage, coordinate, and arrange senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination
Perform administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contact database
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Organize team communications and plan events, both internally and offsite
Requirements:
Have a flexible schedule and assist when necessary, including evenings and some weekends
Proactive and super organized while having a positive attitude
Ability to work and adapt in a face paced environment
Plugged in and digitally savvy
A strong ability to manage up and prioritize with limited direction
Creative and strategic problem solver
Natural ability to communicate clearly with all levels of the org from interns to execs
Discretion with confidential information
Ability to coordinate travel
Proficient with Microsoft Office, Google Apps and Dropbox
