Public Relations Administrative Assistant
JONESWORKS is seeking an experienced Public Relations Administrative Assistant to help maintain and organize the Los Angeles office and support the LA based Sports + Entertainment Executives. JONESWORKS is a New York and Los Angeles full-service, strategy-driven public relations, marketing, and communications agency representing an elite roster of talent, fashion, lifestyle and consumer brands. Candidates must be extremely detail and solution-oriented, have superior communication and organizational skills, as well as a strong desire to learn the business. They are self-motivated, proactive, quick-thinking, flexible, able to juggle multiple deadlines and a range of responsibilities at once.This is a fast moving position that requires good judgment and significant initiative. Candidates should have a strong interest in public relations and understand the media landscape.
Specific responsibilities include, but are not limited to:
Perform administrative support and tasks for agency partner as well as general Los Angeles office needs including phone coverage, calendar management and scheduling, reconciling expenses, office orders and billing
Assist in keeping media database updated with relevant information about editorial shifts, opportunities and contacts
Create and maintain confidential databases and documents
Answer and direct phone calls and greet/assist visitors
Compile press clips for clients as needed
Assist with on-boarding new hires
Manage Los Angeles office vendors
Ensure office equipment and supplies are properly functioning and stocked, troubleshoot and fix any issues that may arise
Assist in editing drafted press materials, new business decks, client reports, etc. as needed
Qualifications:
BA/BS Degree- 1-2+ years as an executive assistant or assistant
Prior experience supporting publicity/marketing executives
Strong written and verbal communication skills and the ability to multi-task
Proficiency in Microsoft Office: Outlook, Word, Excel, Powerpoint, etc.
Ability to be discrete and maintain confidential information
Understanding of how to prioritize and respond accordingly
Strong attention to detail
Team-player who operates in a fast paced team-oriented setting
Displays professionalism in communication with internal and external partners
