JOB DESCRIPTION
POSITION: Manager, Production Services- First Year
DEPARTMENT: Production Services
LOCATION: Los Angeles Campus
PRINCIPAL RESPONSIBILITIES:
Coordinate and advise first year AFI Conservatory Productions. In addition to assisting all Fellows on production related concerns, our office acts as a sounding board to all of the needs of the Fellows in terms of production improvements, personal problems and future goals and challenges.
PRINCIPAL DUTIES:
• Manage the production for 84 Cycle Projects and 28 16 MOS Projects
• Administer and track all production funds for Cycle video projects; Cycle budget wire transfers; Vendor payments; Outside stage stipend requests for both 1st and 2nd Year
• Oversee the preproduction process for all Cycle Projects to insure AFI Policies are followed.
• Support all logistics of Cycle production including:
o Participate in Production Meetings along with the Director of 1st Year Productions
• 8 hours a week in 1-week out meetings
• 4 hours a week in Wrap Meetings
o Support all 1st Year Fellows throughout the entire production process prior to their shoot to identify potential problems and suggest problem resolutions (this often means pulling out favors with permitting offices, our insurance company or property owners when Producers are in a rut or have proven to be incapable of finding a solution last minute, so that productions don't suffer.)
o Assist Fellows with the permit process, location scouting and management of their productions; assist Producers with revising schedules and budgets; assist Fellows in finding outside crew; offer support during Teaming; assist with all of the necessary production paperwork required for shooting.
o Maintain the Volunteer book and helping Fellows with crewing issues
o Maintain an up-to-date record of all of the 1st Year crewing days and their specific discipline requirements.
o Review budgets and receipts upon completion of Cycle projects. Advise Fellows on how to look at their expenses on previous projects to be better prepared for each of their Cycles as well as prepare them for 2nd Year and on.
o Deal with any loss and damage to locations and/or outside rentals
o Assist with Insurance Claims when necessary
• In addition to insurance claims, our office has weekly communication with our insurance brokers to assist films with requests to use animals, vehicles, and/or satisfy special property requirements.
o Issue Letters of Introduction, Donation Letters and Outside Volunteer Introductions for Fellows to Outside Vendors for both Cycle and 16 MOS Projects.
o Assist Fellows with the current Child Labor Laws and Studio Teacher rules and regulations.
o Serve as a liaison between projects and location owners/vendors to maintain good community relations
o Interact with SAG Conservatory office as regards casting on Cycle Projects
o Process all requests for Insurance Certificates for Cycle Projects and 16 MOS Projects
• Support all Policies of the Conservatory including:
o Supervise all production paperwork for both Cycle Projects and 16 MOS Projects
o Participate in Production Safety Meetings with all Cycle Groups to insure their compliance with AFI Policies.
o Participate in Wrap Meetings for each Cycle Team
• Organize, publish and distribute the First Year Production calendar and teaming and crewing grids. Coordinate the yearly production schedule from prep to post with the all the necessary Conservatory Departments.
• Rewrite the 1st Year Production Manual and Safety Handbook under the supervision of the Director of Production Services, 1st Year
o Maintain notes throughout the year with suggestions from all Conservatory Departments for needed changes to the various handbooks.
o Revise all 1st Year Production Forms and upload to the AFIntranet.
o Order office supplies for Production Services.
o Communication hub for all Conservatory Departments involved with production. Keep 1st Year Director of Production Services and all Discipline Heads up-to-date on all 1st Year production issues and status of individual growth or weakness of all Fellows.
o Take minutes at 1st Year Action Meetings and Wrap Meetings and maintain record of suggestions for improvements or changes needed of production policies and/or procedures.
o Assist the Head of the Producing Program with his weekly schedule.
o Assist Fellows with Friday checkouts, staying in the office until productions are cleared for filming, incurring weekly overtime.
o On-call 24/7 for production support, questions or emergencies.
o Coordinate Boot Camp Exercise including:
o Boot Camp Orientation (one full month of Orientations, Workshops and Classes; Book outside speakers and field trips)
o Preparation of Orientation Presentations and Handouts
o Creation of Boot Camp Schedule (work with every Discipline Head, SDAC Staff, Production Equipment Services Staff, Fellows Affairs and other Departments related with 1st Year to schedule the entire Boot Camp and Production Calendar)
o Instruct on the preparation of Boot Camp Paperwork
o Coordinate and support staff and faculty participation
EXPERIENCE/SKILLS REQUIRED:
• Bachelor's degree
• 3-5 years production and management experience.
• Excellent oral and written communication skills.
• Preferred experience as a production coordinator on films, knowledge of production.
• Excellent interpersonal and organizational skills.
• Familiarity with scheduling and budgeting software common to the industry.
• Ability to problem-solve productions issues with constituents in support of Associate Dean.
• Proficiency with Microsoft Excel and various calendar software.
