ITV Studios Global Entertainment - Department Assistant
OVERVIEW:
Based in ITV's Sherman Oaks office, this role will report to the SVP, Sales - Americas. ITV Studios Global Entertainment is the international distribution and consumer product business that licenses ITV's finished television programs, movies and formats internationally. This is an administrative role, supporting the distribution team responsible for the US, Canadian and Latin American markets. It requires a highly motivated individual who is independent, organized, flexible, and works well within a small team environment with ever-changing priorities.
RESPONSIBILIITES:
• Maintain calendars; including heavy appointment scheduling across multiple time zones
• Arrange all domestic and international travel plans for executives
• Answer phones and set up local and international conference calls when required
• Arrange all trade market related schedules for executives, dealing directly with clients and the UK head office
• Coordinate special projects as needed, including conferences (such as NATPE, MIPCOM, LA Screenings), materials and presentations
• Work in a dynamic, sometimes high pressure environment
• Respond to changes quickly and proactively; alter priorities when necessary
• Process expense reports in a timely manner
• Maintain executives' database of all contacts
• Handle sensitive and confidential information across the sales and legal team
• Basic tasks (including filing) and other duties as assigned
MINIMUM QUALIFICATIONS:
• Minimum of 1-2 years of administrative assistant experience, preferably reporting to multiple managers
• Strong typing skills; MAC proficient with solid skills in Google Docs (mail, calendar, sheets, drive, etc.) as well as Microsoft Word, Excel and PowerPoint
• Experience working within distribution or international television preferred
• Impeccable oral and written communication skills
• Ability to multi-task and have excellent follow-through
• Self-starter with the ability to prioritize, organize and establish administrative procedures
• Comfortable and confident working in different time zones and with various cultures
• Degree qualified or equivalent experience
• High proficiency in digital technologies and tools that support the business
