This role requires an individual who is self-motivated, thrives in a fast-paced environment, and has the ability to be flexible with ever-changing priorities. We're looking for someone who is a team player, passionate, forward-thinking, can-do attitude with a desire to ''go the extra mile''.
KEY RESPONSIBILITIES:
• Maintain up-to-date awareness of the executive's obligations in order to proactively assist and/or anticipate needs, and help maintain
deadlines
• Manage two demanding and fluctuating calendars; including appointment scheduling across multiple time zones
• Handle high volume phones, including answering all incoming calls, rolling calls, setting up conference dial-ins and occasionally
taking notes
• Arrange all domestic and international travel plans
• Process expense reports and audit back to corporate card statements in a timely manner
• Interface with other corporate offices, including frequent communications with international partners
• Coordinate special projects as needed, including preparing materials for executive meetings, pitches and reporting
• Maintain executive's database of all contacts
• Filing as needed for projects and relevant materials, keeping studio databases and archives up to date
• Other duties as assigned
QUALIFICATIONS:
• Bachelor's degree required
• Minimum of 1 year as an executive assistant supporting high level executives (preferably within the talent agency industry)
• 2-3 years of administrative assistant experience including answering phones, heavy meeting and schedule coordination
• Able to work in a high pressure and dynamic environment while maintaining a calm, professional demeanor
• Must be comfortable dealing with confidential materials and information with discretion and confidentiality
• Strong administrative, organizational, and communication skills
• Excellent attention to detail are a must in this role
• Able to meet tight deadlines, manage multiple projects and maintain a sharp focus while managing competing priorities
• Polished verbal and written communication
• Familiarity with major industry players (agents, network executives, other studios)
• Strong typing skills; MAC proficient with solid skills in MS Office and Google Suite
• Comfortable and confident working in different time zones and with various cultures
• Enthusiasm for non-scripted television content
