Position: Assistant to SVP, Finance and VP, Business & Legal Affairs
Location: Beverly Hills, CA
Job Type: Permanent, Full-Time
Imagine is seeking an assistant to support the company's Senior Vice President, Finance and Vice President, Business & Legal Affairs. This role will interact with every divisions within the company, including Television, Features, Kids & Family, Documentaries & Branded Entertainment, Impact, Marginal and Jax Media.
The ideal candidate will:
• Be comfortable proactively managing the call and meeting-heavy schedules of the SVP and VP, with an ability to coordinate amongst other admin to ensure optimal time management and workflow
• Have experience implementing document manage systems and process improvements (experience building Google Sites, using Sharepoint and familiarity with legal software including Workshare Compare strongly preferred)
• Have prior assistant experience at an executive level and/or working with scripted productions
• Fit well into a team, be enthusiastic for the industry, and is a self-starter committed to independently tracking details and ensuring follow-through
Responsibilities:
• Provide high-level administrative support
• Manage typical executive support activities such a heavy call volume, intensive scheduling, international travel arrangements, correspondence and expense reports
• Manage contracts and related administrative work, including updating the department contract status and tracking report, coordinating with finance and accounting departments to track payments, managing expiration of development agreements, and maintaining filing systems
• Work with production coordinators to ensure management and timely completion of production-related tasks
• Coordinate and disseminate interdepartmental correspondence
• Stay up-to-date on individuals and activities related to company, our subsidiaries and diverse new ventures
• Create and manage effective organizational systems
• Anticipate office needs and be pro-active in follow-through
• Handle additional ad hoc projects as needed
Qualifications:
• 2 years administrative experience in a studio or legal environment
• Ability to be discreet and appropriately handle sensitive and confidential information
• Professional yet friendly people skills
• High emotional intelligence
• Proven ability to anticipate needs and be resourceful
• Strong attention to detail and outstanding organizational skills
• Ability to multitask in a fast-paced environment
• Excellent written and verbal communication skills
• Punctuality and reliability
• Proficient in the Microsoft suite including Outlook, Word, Excel and PowerPoint. Strong Excel skills preferred.
