Summary
The role of the Receptionist/Runner is to handle phones, manage the calendar, welcome/check-in guests, follow all Company policies, effectively communicate messages and deliveries to appropriate departments/employees, deliver packages or pick up elements as needed and stock/clean the kitchen. This is an ENTRY-LEVEL position.
Essential Functions & Responsibilities
- Answer telephone and forward all incoming calls
- All calls must be answered ie: ''Ignition Interactive.''
- No calls are to be placed on-hold until the caller is identified, along with the company they are calling from
- Messages are checked from the answering machine first thing in the morning/shift
- Messages should be left in the evening for any items that will be handled by the morning receptionist
- During shift change all outstanding items are discussed between the receptionists/office manager
- Ensure that all messages, faxes, and deliveries are relayed accurately and promptly
- Sign in all elements and mail packages, as well as immediately notify the vault
- Ensure all mail is delivered promptly
- Make sure all outgoing packages are picked up and delivered when requested
- Organize and order authorized office supplies
- Order lunch/dinner for the authorized employees; maintain the menu book; follow up on orders as necessary with employees and restaurants
- Update and deliver OOTO emails to HR, Accounting, IT and Staff
- Stock drinks fridge and coffee maker
- Keep office area clean (i.e. remove large boxes, clean conference room, organize common areas)
- Clean kitchen after breakfast/take out trash
- Runs to studios/clients to pick up or drop off elements.
- Additional runs for supplies/etc. as necessary
Responsibilities:
- To be present to start shift in a timely manner
- Maintain a tidy and professional dress manner
- Handle all matters in a professional and courteous manner
- Page/communicate judiciously
- Collaborate with other departments
- Maintain and keep tidy the reception and waiting areas at all times
- Maintain all Company policies, especially vigilance with security policies
- Must have a car and current insurance
