ICM Partners, a major talent and literary agency with offices in NYC, LA, DC, and London, is seeking an exceptional, reliable, resourceful, highly organized Assistant to support the Director of Contract Administration in our New York office. This is an exciting position that offers the opportunity to learn the mechanics of publishing contracts and would provide a comprehensive introduction to the business management side of publishing for candidates considering a future in the industry.
ESSENTIAL FUNCTIONS
• Sorting incoming mail from outside buyers
• Assist with sorting and identifying incoming payments/royalty statements
• Filing, copying and maintenance of documents
• Review check details/attached statements and mail checks to clients; recording information regarding status
• Enter payments in internal database
• Assist with research for client/payee inquiries.
• Help with generating reports and setting up spreadsheets for projects and inquiries.
• Provide clerical support at tax time for 1099 management
• Prepare and revise correspondence/internal and external documents/reports
• Additional responsibilities as assigned or requested
POSITION QUALIFICATIONS
Competencies, Skills & Abilities:
Qualifications
• Bachelor Degree required in areas of Accounting, Business Management strongly preferred
• 1+ year (s) of prior administrative experience
• 1+ year (s) of prior experience in publishing (Editorial or Agency) preferred
• Excellent written and verbal communications skills
• Must have superb organizational, analytical, and time management skills
• Exceptionally strong attention to detail
• Ability to handle confidential/sensitive information discretely and with diplomacy
• Aptitude to handle multiple tasks simultaneously
• Proficiency in MS Office applications (especially within MS Outlook & Excel)
