Home Team Sports is currently seeking an Office Manager & Operations Planner to join its Playa Vista, CA office. The position will be responsible for providing proactive, analytical, and operations assistance to the President, the SVP of Sales & Business Operations, and the Sr. Directors of Operations. This role will support both the President and SVP in the execution of strategic goal development and implementation of internal business structures, sales planning, and overall company and divisional initiatives. Although the primary responsibility of this position is to provide executive and administrative assistance to the President (monitoring schedules, drafting and editing correspondence, office and sales related paperwork, and coordinating travel plans and expenses), this position will also have major responsibilities covering the daily management of sales affairs and assistance with special projects as assigned by the President and SVP of Sales & Business Operations.
From an Operational standpoint, this position will be responsible for assisting the SVP and Sr. Directors of Operations in executing operational tasks, which include providing administrative redundancy for the critical operating systems & backfill sales data maintenance. This person must efficiently and expeditiously perform a wide range of tasks, including support for the President and the SVP, as well as acting as point of contact for other HTS offices, regional partners, and FOX Sports corporate in LA.
The Office Manager & Operations Planner must quickly analyze situations and be detail oriented, have the ability to work with minimal guidance and independently establish priorities to perform work quickly, accurately, and effectively under deadline pressures. The Office Manager & Operations Planner will be a crucial member of the HTS organization and will be expected to combine skillsets of excellent communication, strong analytical ability, and the ability to prioritize and manage all inbound and outbound operational challenges.
Responsibilities
• Provide executive and administrative assistance to President. Responsible for arrangement and coordination of all physical and virtual meetings based upon current project workflows and directives. May include: site access for vendors, clients, and/or scheduling conference calls or WebEx demos. Will include making travel arrangements, expense reconciliation and answering phones.
• Works closely with SVP of Sales & Business Operations in coordinating all on-site processes and procedures for HTS LA, other on-site Fox Divisions and additional HTS offices. Managing all sales ancillary touch points to ensure business efficacy.
• On-site coordination of 3rd party vendors, sales and operations temps and departmental interns in accomplishing HTS goals and guidelines under supervision of the SVP and Sr. Directors of Business Operations.
• Perform data maintenance, security/profile entry, permissions and rights administration, and any gatekeeper roles for database management for all eight existing and all upcoming new systems. Support Finance through Wide Orbit customer profile set up and credit evaluation process of new agencies and advertisers. Assist with CIA process with AEs, RSNs, and Finance.
• Consistently communicate with internal end users to review business processes, identify challenges, develop recommendations for solutions and define requirements for enhancing current or developing new business rules.
• Provide Senior HTS management with account based intelligence, sales prospecting, and revenue projections, data mining and BI analysis. Assist with publishing Bi-weekly RSN revenue forecasts from Forecaster. This covers duties including report creation, BI cube creation, reconciliation of reports & BI Cubes.
Qualifications
• Bachelor's degree in business or related business experience.
• Minimum of 2 years experience in operations or sales support functions, specifically in TV sales processes, planning, presenting, and technical fulfillment of booked revenue.
• Familiarity with IT & Traffic systems, Sales support software and CRM platforms is preferred.
• Excellent verbal and written communication, negotiation, and presentation skills, as well as strong interpersonal skills are required.
• Must be a creative problem-solver with the ability to manage multiple projects, utilizing strong leadership skills and analytical skills.
• Knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Visio, Project, Outlook and Explorer is necessary.
• Knowledge of system design concepts, user-flow diagrams, sales order entry systems, posting software, and forecasting software is preferred.
• Must have strong organization, project management and prioritization skills in a fast-paced environment with short deadlines and changing needs.
• Must have excellent client relationship skills, strong attention to detail, and be a consistently excellent Team Player.
