Position Summary:
The Office PA / Receptionist will cover the front desk and assist with other in-house PA duties.
Major Duties and Responsibilities:
Answer incoming calls to office's main line, which includes taking messages, paging employees on intercom and transferring to voicemail
Open the office every morning, which includes turning off the alarm, checking the kitchens, and overnight voicemail messages
Greet clients, visitors and messengers who come to the main lobby
Issue and manage guest passes for visitors
Manage parking validations
Stock kitchens, place grocery orders and do grocery runs as needed
Run/empty dishwashers as needed
Order all office supplies, which includes replenishing basic office materials and buying specialty items as requested
Receive all Fed Ex, UPS, US Mail and messengered packages
Create Fed Ex shipping labels and manage Fed Ex online account as needed
Help other departments or work on special projects as needed
Education and Work Experience:
Must be Mac proficient with a working knowledge of Word and Excel or Google Docs.
Must have experience answer phones and rolling calls, either as a receptionist or an assistant
Helpful have a background or education in Film, Television, Post Production, Marketing, Advertising or related field
Core Competencies:
The receptionist is the first person a client speaks to when calling our office, so ideal candidate needs to have excellent phone etiquette with a friendly, polite and professional demeanor.
The receptionist is left unattended at the front desk for long periods, so must be a self-starter who doesn't need to be watched in order to remain on task or finish projects.
Ideal candidate can learn quickly, multi task and shine in stressful situations.
