As an Executive Assistant to Hearst Magazines, Chief Content Officer, you will be instrumental in supporting the leader of all editorial brands across our print and digital platforms. With 27 brands including Cosmopolitan, ELLE, Men's Health and Car and Driver, you will be working alongside some of the best talent in the publishing world.
What you'll do
• You will manage an extremely active corporate calendar of appointments and heavy travel for Chief Content Officer including scheduling meetings, conferences, teleconferences, and global travel
• You will help to keep Executive on time throughout the day
• You will manage expense reporting for Executive
• You will be responsive to emails and phone calls, with occasional contact outside normal business hours
• You may compose and prepare correspondence; sort and organize incoming e-mail.
• You will coordinate interdepartmental meetings and communication.
• You will welcome guests by greeting them, in person or on the phone; answering or directing inquiries.
• You will have a chance to conduct research as needed for various projects via local resources, social media sites and search engines.
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures and competing priorities
• Represent the company and its owners in a positive light through great follow through skills and sound judgement.
• You will coordinate luncheons, appointments, meetings, and conference calls as needed for Executive.
• Insure that software is working, conference lines are open, required equipment is working correctly for events and meetings.
• You will collaborate with editorial teams and leadership, as well as executive assistants.
Who you are
• You have a strong sense of discretion, confidentiality, and good judgment to handle confidential matters.
• You are consistently highly professional in dealing with clients and all outside parties
• You have 2 or more years of administrative experience supporting senior level executives in a fast-paced complex corporate environment
• Your organizational skills are excellent, and you have a proven ability to anticipate problems, prioritize and meet deadlines
• You demonstrate superior written and oral communication skills
• You have Excellent attention to detail
• You can change direction quickly and pride yourself on being extremely flexible
• You are a self-starter who enjoys working in a team oriented, fast paced environment
• You consider yourself to be an expert with MS Outlook, Word, PowerPoint and Excel
• You may have a College degree
