Hearst Magazines is looking for an Assistant Manager to join our Central Billing Services team based out of Charlotte, NC. The Assistant Manager will play an important role in maintaining existing billing operations across all of the Hearst Magazines brands.
Responsibilities:
• Train Coordinators on day-to-day billing responsibilities
• Update and add issues and rate card information in Ad Depot as needed
• Perform monthly issue closings in AdDepot & SalesForce
• Administer master maintenance approvals
• Coordinate rate confirmations, makegood and exchange approvals and explanations for pricing details
• Support magazine advertising sales, production, financial and legal departments by responding promptly to inquiries in the form of on-line displays or standard reports
• Monitor repricing for contracts and rate changes
• Ensure complete and accurate invoicing by reconciling billing summaries for each title (discrepancies are researched and resolved)
• Confirm adherence to special invoice instructions for consolidated or customized billing
• Troubleshoot system problems, if any, confronted by CBS Coordinators
• Continuously look for ways to create more efficiency in our current processes
Qualifications:
• BS Degree in Business or BS Degree and relevant business experience
• Minimum 4 years of relevant work experience
• Strong interpersonal skills with ability to communicate effectively and build relationships across all levels of management
• Self-starter who is detail-oriented, deliverable focused, and well-organized
• Advertising invoicing experience preferred
• Experience using the Ad Depot billing system and Oracle Cloud ERP is a plus
• Knowledge with Microsoft Office applications including Excel and PowerPoint
