Full Time Job
The Administrative Assistant is responsible for providing administrative support to the VP, Partnerships & VP, Hearst Originals. The person must be extremely organized, a self-starter, a fast learner, and very motivated to go above and beyond what is expected. The Administrative Assistant will interact with several influential high-level executives and be exposed to many areas within the media industry.
Responsibilities:
• Manage heavy calendars, requiring interaction with both internal and external executives and assistants to coordinate variety of meetings.
• Arrange travel schedules and reservations for team, client partners as needed
• Manage expenses via receipt management and expense reports
• Attend weekly meetings and distribute relevant meeting notes to the team
• Provide back-up support to other administrative staff and office management as needed
• Misc. projects as delegated
The Qualifications:
• 1-2 years experience in an assistant or coordinator role.
• Excellent time management and organization skills.
• Ability to take initiative and be a self-starter, roll-up your sleeves mentality
• Ability to efficiently schedule time and activities
• Ability to work independently
• Excellent oral and written communication skills
• Demonstrated computer skills and knowledge of relevant software (e.g., MS Office Suite)
