Title: Executive Assistant
Reporting To: President, Home Entertainment
Location: Los Angeles, CA (Century City)
Summary
The Executive Assistant supports and assists the President in all business activities. The ideal candidate must be experienced in handling a wide range of administrative and executive support related tasks. In addition, must be able to work well within an administrative team in an environment of constantly changing priorities. This position will act as liaison in regards to contacts, relaying information, communicating and scheduling in order for executives' day runs smoothly and efficiently.
Responsibilities
• Maintains calendars, coordinates meetings and appointments and keeps supervisor appropriately informed on a timely basis when changes occur
• Works closely with executive to understand priorities, tracks executive whereabouts throughout business day and maintains them on a schedule and on mission
• Organizes and facilitates meetings and conference calls with colleagues, external clients and talent
• Screens incoming calls and correspondence and responds independently when possible
• Arranges, books and monitors details of complex travel and itineraries
• Prepares the executive's expense reports and reconciles corporate credit card account
• Creates and maintains presentation, database and spreadsheet files
• Organizes programs, events, meetings or conferences by arranging facilities and caterers
• Incidental cleaning (i.e. after meetings), serving food and beverages, and other tasks as needed
• Work closely with other Admin staff as needed to coordinate calendars, meetings and other events that involve multiple executives and/or departments
• Performs other duties as needed and assigned
Requirements
• Bachelor's Degree, preferred
• Minimum of 2 years of related experiences supporting high level executive, preferably within the entertainment industry
• Excellent oral and written communication skills are crucial
• Possess excellent organizational and prioritizing skills
• Must be able to handle multiple tasks efficiently in a fast-paced environment
• Must be able to interact effectively at all levels internally and externally
• Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
• Experience supporting more than on executive/supervisor preferred
