Job Description - - Provide administrative and operational support to the SVP, Sales & Distribution, US. This process-driven role will help oversee the sales process from pre-pitch through delivery and is a pivotal role to ensure the smooth functioning of the US sales team.
Responsibilities
Administrative Support
Schedule meetings and conference calls across multiple time zones and manage heavy call volume.
Arrange domestic and international travel and prepare bi-monthly expense reports.
Coordinate convention meeting schedules and calendars and prepare necessary materials ahead of scheduled meetings.
Field general internal and client queries.
Sales Support
Manage availability reports in rights management systems to confirm legal and sales clearances on titles of interest from clients.
Track & build program availability lists based on targeted criteria as requested.
Track all pitches to clients & record resulting feedback and compile post market reports and producer feedback reports.
Prepare sales decks as requested and provide all marketing assets (eg. artwork, publicity, digital screeners, and scripts) to clients in support of sales pitches.
Prepare deal memos and manage the full sales process working with internal departments (rights, finance, legal, operations, marketing) and third parties to ensure smooth & timely completion of contracts, invoices and deliveries.
Manage and maintain close contact with client marketing and technical delivery contacts to ensure deadlines are met and material delivery is completed as per contract.
Review license agreements and input as needed & maintain Contract Status Report.
Research potential new clients and track business & content needs of existing clients.
Participate in discussions regarding the market, content, and sales strategies.
Develop and maintain positive relationships with internal colleagues and external clients.
Other duties as requested to support the sales team.
Requirements
Experience interpreting contracts and legal documents
Experience with rights management software and customer management platforms a plus
Previous entertainment industry experience, preferably in sales and/or content acquisitions a plus
Proficiency in Microsoft Office (Word/Excel/Outlook/PowerPoint)
Strong communication skills with the ability to communicate with clarity and professionalism
Self-motivated, well organized with the ability prioritize to meet deadlines
Ability to work well under time constraints and in a fast-paced goal-oriented environment
Ability to understand & anticipate issues and independently problem solve
Proactive and responsible team player, collaborating for success
