Full Time Job
The Special Events Coordinator supports provides administrative and travel support for the department inclusive of special events, activations and experiential marketing activities. In addition to coordinating internal events, the Coordinator assists with the management of large-scale hospitality programs and corporate meetings.
Responsibilities
• Provide administrative support to Executive Director and department
• Support event teams by coordinating logistics and details for large and small events
• Creative brainstorming for event themes and branded items for giveaways,
• Research and manage décor and print elements
• Manage event budgets, venue and vendor research, security, valet, etc.
• Coordinate food and beverage elements
• Book travel (flight/hotel/ground) for staff and crew for assigned events through FOX Travel; monitor and minimize travel expenditures
• Event support onsite including check in, load in and out, stage managing talent,
• Train and manage new employees and event staff
Requirements
• Bachelor's degree, with at least two years of administrative, special events or event production experience
• Bookkeeping/budget management experience preferred
• Proficient with Mac and PC, Microsoft suite, iTunes, Adobe Acrobat, Photoshop and Powerpoint.
• Excellent interpersonal, verbal and written communication skills
• Positive and proactive problem solver and team player, self-starter who can also work independently
• Detail-oriented with strong organizational skills, the ability to prioritize and multi-task in a deadline driven environment
• Available for overtime and travel on short notice
• Knowledge of special event and print production preferred
• Must be capable of lifting up to 50 pound pelican cases, other items as needed
