JOB DESCRIPTION
General executive support
• Manage executive calendar in fast-paced environment.
• Coordinate meetings, calls and events to include all logistics (scheduling, catering, preparation of meeting materials, etc.)
• Handle complex worldwide and domestic travel arrangements and process related expense reports.
• Serve as ambassador of the Head of Travel and Tour Operations, handling incoming calls, visitors and all situations with discretion, diplomacy, enthusiasm and the urgency necessary.
• Develop and maintain excellent relationships with key contacts within and outside NGP.
• Handle frequent projects successfully while prioritizing conflicting needs and changing deadlines.
• Perform a variety of special projects and administrative duties for the Washington, DC and Evanston, IL teams.
Qualifications
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners.
• Expert level written and verbal communication skills.
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Emotional maturity.
• The ability to work in a team but also to be highly effective independently.
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response environment.
• A reputation as a forward-looking thinker, who actively seeks opportunities and proposes solutions.
• Flexibility regarding workload
Education
and experience requirements
• Bachelor's degree required.
• At least 3-5 years of experience providing executive administrative support
• Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat and social media platforms (Facebook, Twitter).
• Travel industry experience is a plus.
