FOX's Digital Growth and Delivery team is looking for a Team Coordinator to provide executive assistant support to the Executive Vice President of Commercial and Marketing and the SVP of Delivery. In addition, this role will help support the wider team as needed with expenses, ordering & administrative projects.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Manage incoming inquiries and requests for time and information
• Manage calendar of appointments to effectively allocate time and ensure all associated documentation is available as required
• Assist with the preparation of presentations, reports, and other ad-hoc requests
• Supports the EVP & SVP on other operational activity as required
• Implement office procedures to facilitate a highly organized and smoothly functioning division
• Liaise with and build effective working relationships with the extended Fox Entertainment and Digital teams as well as other Fox business units
• Coordinate and book travel for executives and team members
• Process and assist with purchase orders, financial payments, invoices and expense reimbursements
• Prepare for and provide support for various meetings, event management eg. catering, room set up, audio/visual equipment
• Contribute to the strategic planning of the team; ad hoc administrative tasks for projects
• Work closely with other Administration staff as required ensuring teamwork across the business
• Participate in special projects to continuously improve processes, tools, systems, and organization
• Participate in objective setting, performance management, planning and implementing personal and career development activities
• Accurate word processing, data entry, maintaining and updating databases
• Follow and demonstrate our organizational values
• Additional tasks/duties as assigned
WHAT YOU WILL NEED
• Relevant qualifications in business and/or administration
• Significant experience as an executive or personal assistant to a busy manager
• Demonstrated experience in an administrative role supporting a multi-disciplinary team
• Proficient in the use of the Microsoft Office suite of products, including Word, Excel, and Outlook
• Excellent written, verbal, and interpersonal communication skills with a demonstrated ability to work with all levels of employees and management
• Understand the need and for and demonstrate strict adherence to confidentiality
• Ability to be flexible and adaptable in the face of changing organizational priorities and ambiguous
• Ability to use initiative and strive for efficient and effective process improvements
• Ability to prioritize and meet deadlines
• High attention to detail and accuracy with a strong focus on the quality of work
