The Big Ten Network (BTN) is seeking a Production Planning Coordinator to join the team in Chicago. This role will report to the Manager, Remote Operations and you will be responsible for handling assigned event and resource scheduling, invoicing, budgeting, on-site safety plans and surveys, and collaborating with scheduling managers. Additionally, you will assist with above-the-line and below-the-line personnel planning. As the Production Planning Coordinator, you will work directly with production, finance, business operations, and remote operations.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Collaborate with below-the-line crewers and third-party vendors (e.g. Program Productions, Inc.) to communicate crew needs, schedule, staff, and pay technicians
• Collaborate with Production, Operations, IT, & Technology for event planning
• Create crew grids to communicate staffing requirements to third-party staffing vendors
• Ensure budgets are accounted for in Salesforce and all personnel information is accounted for in event crew sheets when staffing needs are met
• Build and develop templates including Tech Books, Tech Reports, Remote Reports
• Schedule and participate in planned site visits and surveys for both planning and execution of live event productions
• Adapt plans according to changes in production plans
• Participate in systems planning, implementation, and improvement of company systems including Salesforce, Workday, Coupa, Playbook, and FoxPay
• Point of contact for system administrators for communications and planning purposes
• Assist with live event planning, staffing, budgeting, as needed and assigned in all areas of Production
• Code invoices as assigned
WHAT YOU WILL NEED
• Basic familiarity with production equipment relating to remote events
• Capability to work flexible hours, including evenings and weekends as needed
• Superior attention to detail
• Must be organized, detail-oriented, proactive, and a team player
• Ability to work independently or collaborate with the team as well as have the capacity to multi-task and work in a fast-paced environment
• Excellent financial acumen
• Proficient experience in event budgeting
• Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
• Outstanding written and verbal communication skills
• Solid people management and coordination skills
