Licensing & Operations Coordinator Job Summary The Licensing & Operations Coordinator position will be primarily responsible for the input and tracking of licensing and promotional deals throughout the Americas region and supporting the operations department with administrative and logistical duties. Duties will include:
• Gathering and prioritizing deals from the category team and LATAM team.
• Ensuring that all necessary information is included, tracks the status of all deals, informs the key stakeholders of status.
• Working with legal, finance, IT, and operations teams to ensure a streamlined and efficient deal approval process that reinforces FCP as a partner of choice with licensing and promotional partners.
• Supporting operations with office logistics, conference and event planning, as well as work with vendors to make purchases and reconcile invoices.
Responsibilities
• Gathers licensing and promotional deal points and enters information into system.
• Provides weekly contract status to key stakeholders.
• Works with category teams to prioritize contracts.
• Ensures that once contracts are fully executed that marketing and creative systems are enabled for licensee access.
• Identifies any outstanding information and issues to the appropriate functional lead.
• Presents deal memos with category lead to the functional leads for approval.
• Monitors and make recommendations to maintain an efficient contract approval process.
• Identify bottlenecks in the system and proactively provides solutions.
• Coordinate materials and prepare agendas for weekly deal memo meetings.
• Support department with event planning for conferences and trade shows and research venue locations.
• Liaise with building staff regarding company office needs (office space planning, coordinate office moves, parking etc.).
• Process purchase orders and reconcile invoices.
• Schedule meetings as needed.
Qualifications
• BA/BS required
• Minimum 2 years in a high-rigor environment in licensing or manufacturing.
• Experience defining and launching products/initiatives a plus
• Contractual experience/background with an ability to understand agreements is a plus
• Excellent written and verbal communication skills and the ability to develop clear and consistent messages across many different stakeholders
• Presents strong team work skills and a strong sense of urgency
• Strong PowerPoint and Excel skills a must.
• Additional language skills a plus - ideally Mandarin, Korean, Japanese or other Asian language
• Self-starter who needs little day to day direction who consistently delivers on time and meets and exceeds MBOs
• Ability to influence cross-functional teams without formal authority
