Full Time Job
Worldwide sales and production company is seeking an executive assistant and coordinator to support senior executive. This is a fantastic opportunity as the role requires involvement in every aspect of the company including development, production, marketing and sales. The ideal candidate will have at least two years of executive assistant experience at an agency or a production company, be extraordinarily detail-oriented, sharp, resourceful, quickly able to juggle multiple tasks, work well under pressure, have strong written and verbal communication skills, and be a self-starter dynamic team player. We are looking for somebody who thrives in a fast-paced environment with a strong desire to learn about the film production and distribution process.
Responsibilities:
• Manage busy calendars, including scheduling calls, appointments, and meetings on a daily basis
• Arrange and book international and domestic travel, accommodations, hotel, meetings, and meals
• Act as a liaison on behalf of the executives and other departments/staff within the company, as well as external parties, employing diplomacy in all interactions
• Create presentations and produce management-level reports
• Draft basic distribution and acquisition agreements
• Greet visitors, answer and screen calls; create and update call logs
• Coordinate film market attendance and submit films to film festivals
• Evaluate incoming submissions (scripts and films)
• Update company website including social marketing
• Oversee general office operation including maintaining an organized clean office, collecting/sending mail, managing office supplies
• Recruit, coach and oversee interns
Qualifications & Skills:
• BA or BS degree from an accredited college or university required
• Minimum 2 years of experience working in a fast-paced, results-driven environment (agency, studio, distribution, sales experience a plus)
• Previous experience supporting a senior executive is highly preferred
• Highly energetic and motivated, while demonstrating a positive and personable attitude
• Excellent oral and written communication skills with an ability to interface effectively with colleagues, management, and other third parties
• Discretion is a must-dealing with confidential information
• Advanced computer proficiency including Microsoft Office software (Powerpoint, Word, Excel, Outlook, etc.), Dropbox, Google Suite
• Strong organizational skills with an ability to effectively multi-task
• Open to working flexible hours as the executives' schedules demand
• Experience in entertainment and/or film market attendance/preparation required
• Bilingual is a plus
• Must be authorized to work in the US
