This is a Full Time Job
Supports and oversees day-to-day tasks and short-form projects across the Eyeline Virtual Production, VFX, and Post-Production teams. This role plays a key part in ensuring smooth operations and timely project delivery by coordinating between internal teams and external partners. Strong organizational skills, attention to detail, and a collaborative mindset are essential for success in this position. This position will report to the Central Production Manager.
Key Responsibilities
• Project Management: Plan and coordinate projects, partnering with Creative Executive, Short Form Content to ensure they are completed on time and within scope.
• Communication: Serve as a point of contact between various departments, clients, and stakeholders to facilitate smooth information flow.
• Documentation: Maintain accurate records, files, and documentation for projects and departmental activities.
• Reporting: In partnership with Creative Executive, Short Form Content, preparing regular reports on project status, department activities, and other relevant metrics contributing to overall team efficiency.
• Problem-Solving: Actively monitor production activities to identify issues or bottlenecks, take initiative to resolve routine problems, and escalate complex challenges to the appropriate leads to minimize disruptions and keep the project on track.
• Virtual Production Knowledge: Possess a basic understanding of virtual production tools, departments, and pipelines; hands-on experience managing or using them is a strong plus.
• Entertainment Marketing Knowledge: Possess a basic understanding of the cadence of working with an advertising agency.
• Communication & Accountability: Demonstrate strong written and verbal communication skills with the ability to drive actions, follow up on tasks, hold team members accountable, and ensure timely delivery and resolution.
• Support & Scheduling: Arrange and manage schedules, meetings, and appointments for team members and ensure timely communication of changes. Provide administrative support to the team, including preparing correspondence, handling tickets, and managing office supplies.
• Review Facilitation: Effectively facilitates creative and technical reviews by ensuring the right stakeholders are prepared and present, capturing key discussion points, and tracking next steps to ensure alignment and timely follow-through.
• Process Improvement: Actively suggests workflow optimizations and supports the implementation of organizational tools and processes that enhance team productivity and collaboration.
Qualifications
• Excellent organizational and time management abilities, able to identify and manage priorities
• Excellent written and verbal communication skills. Ability to collaborate effectively with cross-functional teams
• Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Ability to work independently and as part of a team
• Attention to detail and problem-solving skills
• Effectively coordinates the resolution of problems and roadblocks as they occur
• Proficiency in production management software such as Flow (formerly Shotgrid/Shotgun) or equivalent tracking tools
• Familiarity with project management software (e.g. Smartsheets, Airtable, Miro, Bluescape. ClickUp) is a plus
• Demonstrates the ability to stay calm and confident in high-pressure, fast-paced environments
• Adapts quickly to shifting priorities and tight deadlines, takes initiative, and maintains a proactive, positive attitude in all situations
• Comfortable working with general guidance in a fast-paced, often ambiguous environment
• Takes initiative to keep tasks moving, asks the right questions when needed, and supports the team with a solutions-oriented mindset
