ROLE AND RESPONSIBILITIES
We are seeking an Entertainment Coordinator to support our accounts with musical assignments and customer base in the event industry. The ideal candidate has experience performing a variety of administration and operational responsibilities that deliver a quality customer experience. Event Services Group is structured around creating a memorable client and employee experience and is looking for amazing talent to achieve this. Working with an established account base, you will be responsible for assisting accounts and account representatives with daily administrative responsibilities that are executed at a level of competency to help grow and maintain customer relationships. You'll also need to possess exceptional organizational and communication skills to collaborate with external and internal teams. The company has been in business for over 30 years and offers a full benefits package. A successful candidate will be able to manage the logistics of multiple events simultaneously while keeping a positive attitude. Talent acquisition, scheduling, customer service and talent relations are key for this position.
Entertainment Coordinator Duties and Responsibilities
•Working with your assigned clients to select the very best talent for each assignment
•The recruiting, enrolling and training of musical staff over the phone, email and occasionally in person
•The booking, securing and managing of talent, including evaluation and processing of each assignment
•Matching bands and DJs with appropriate venues and audiences
•Handling all scheduling, travel itinerary, calendars and meetings
•Building lasting relationships with clients and talent
•Working collaboratively with event representatives and team members to ensure the ideal execution of each and every event staffed by Entertainment Coordinator
•Building and maintaining relationships with artists/talent and artist's representatives
•Negotiate event fees with talent
•Maintain correspondence between client and talent throughout booking process
•Oversee talent calendars and resolve scheduling conflicts
•Organize casting schedules
•Responsible for all musical content and continued development of talent materials
•Maintaining up-to-date records in ESG databases of contacts, contracts, riders, etc.
•Posting and verifying payments for staff
QUALIFICATIONS AND REQUIRED SKILLS
•Must have an avid interest in music, knowledgeable about artists and genres
•Experience in event production is helpful
•Effective communication with colleagues
•Capacity to handle multiple projects, deadlines and complex tasks in a fast-paced setting along with attention to detail, time-management, persistence and follow through
•Excellent computer skills using Excel, Word and PowerPoint
•Able to both follow direction and work independently
•Strong verbal and written communication
•Excellent problem-solving skills
•Comfortable with talking on the phone and the ability to carry on a business conversation with decision makers
