Job Summary:
We are seeking a dynamic individual who is looking to establish a career in Facility Management. This position is responsible for coordinating all Facility Services and contributing to Distribution Services in support of all business within the Los Angeles Production Center, including live production, remote operations, and normal day to day work.
The Senior role provides for a unique opportunity to work within the department while getting the opportunity to work across platforms with other departments and take the lead on small to moderate projects on behalf of the Facilities team. The role also assumes some leadership responsibilities through managing small projects, planning and executing special events, and managing vendors.
The ideal candidate thrives in a fast-paced and energetic team environment, which requires individuals to establish partnerships with each member of the team and become a strong contributor to the achievement of departmental goals. The Senior role executes department initiatives laid out by the Director of Facilities and will report directly to the Director of Facilities. This role typically works during normal business hours (9:00 AM – 6:00 PM) and is asked to be flexible to accommodate special projects or facility needs outside of those hours.
Responsibilities:
Overall:
• Carry out the vision of the LAPC Facilities Management Program that benefits the wellbeing of staff, guests, and talent in the areas of work, production and wellness.
• Contribute to the LAPC Zone Maintenance Program in an assigned zone and in the areas of all distribution, food and beverage, janitorial, copy/print services and storage facilities.
• Maintain and observe all ESPN Safety and Security policies.
Facility Services:
• Develop and manage yearly budgets for Facility Services with Director of Facilities. Review all proposals for work to ensure accuracy in the budget and consistency with our regular scopes of work.
• Plan and execute special events, third party shoots and provide meeting services as needed, including set up and break down tables and chairs.
• Contribute to the Facilities Calendar on a daily basis by adding information regarding Facility Services, Distribution Services, vendor visits and work schedules.
• Assist in coordinating with Custodial Vendor for onsite staff, daily schedules, roles, responsibilities including special specials requests and special events.
• Coordinate Pest Control, Carpet Cleaning, and Landscaping Services as needed.
• Organize and maintain inventory of LAPC storage rooms including tables, chairs, set pieces, and all items storage within.
• Coordinate Space Planning initiatives and projects with the Director of Facilities and Bristol Facilities.
• Hang artwork in offices or common areas as needed.
• Assist Facility Engineers in projects related to HVAC, Electrical, Plumbing, and Lighting as needed.
• Operate man lift, fork lift and pallet jacks as needed.
Distribution Services:
• Contribute to the ESPN Mail Room and Distribution Services, including the DC X Ray machine, Pitney Bowes operations, UPS TrackPad and all supplies and associated with shipping and receiving.
• Liason with Loading Dock Staff to ensure smooth logistical planning for construction, production and special events.
• Carry our all facets of distribution services including shipping, receiving, day-to-day mail delivery and pick up.
Business Operations:
• Coordinate with LAPC Onboarding Team to populate the LAPC Master Staff List with employee information regarding space, lockers, and relocations.
• Maintain and distribute the LAPC Phone List and Email Distribution Lists.
• Procure and manage office and pantry supplies and ensure the office supply stations are stocked.
• Establish and maintain relationship and process with local food vendors to provide catering and meal services for individual departments to utilize.
• Manage conference rooms in regards to booking, supplies, set up and AV Support.
Radio (Transmitter Site):
• Visit the ESPN Transmitter Site one time per week audit the site for safety, security and operation.
• Coordinate regular landscaping, pest control, fencing, HVAC and generator services to maintain the transmitter site to comply with Fire Department regulations as well as to be a good neighbor to those who live around the site.
Technology:
• Coordinate preventative maintenance and reactive repair of the LAPC LED Board with AEG and LED Board vendor to ensure optimum operation of the screen.
• Work with production operations to color correct LED Board modules to ensure the that the screen presents well.
Basic Qualifications:
• Minimum of 5 years' experience with distribution services, facility services, or facilities management.
• Proficient in Microsoft Office tools including, Outlook, Excel, PowerPoint, and Word.
• Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
• Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Preferred Qualifications:
• Previous people/vendor coordination experience.
• Previous event planning and scheduling experience.
• Basic project management, organizational and multitasking skills.
