Responsibilities:
• Provides administrative support to the Vice President, Human Resources by executing a wide variety of semi-complex administrative tasks, including:
• Coordinates schedules and appointments, and makes travel arrangements
• Prepares/maintains travel and expense reports
• Provides telephone coverage, assisting callers as needed
• Handles confidential materials, including documents and information requests
• Arranges conference calls and prepares for meetings, including coordinating technical needs
• Invoices and tracks team expenses using an electronic invoicing system
• Prepares correspondence, business updates, meeting notes; may prepare semi-routine reports
• Provides back-up administrative support to the Senior Vice President, Human Resources as needed
• Executes office management responsibilities that support the Human Resources Department
• Provides limited administrative support to the Human Resources Business Partner Team as needed to support the tactical and strategic priorities of the Team and HR Department, on both a regular and project specific basis. This includes tracking leave time, preparing and communicating team messages, participating in team meetings and learning opportunities, providing support to HR programs, initiatives and processes.
• Provides limited administrative support to the Employee Relations Team. Activities include appropriate filing and accessing of confidential documents using an electronic filing system; scanning and archiving of files; and supporting compliance-related activities.
• Responds to employee inquiries by providing appropriate information or direction, including assisting with the interpretation of routine matters involving HR policies and procedures.
• Researches, extracts, compiles and analyzes basic information from known and available sources
• Identifies and recommends process and workflow enhancements and efficiencies, and may implement such solutions
• Participates on HR project teams as needed
• Acts as HR liaison to other departments on as needed or project basis
• Supports the coordination of activities of the HR Department administrative staff to balance workloads, ensure telephone coverage during working hours, and other assistance as needed.
Basic Qualifications:
• At least 5 years supporting a Vice President and/or equivalent experience;
• Basic knowledge and skills in administrative ''best practices''
• Ability to multi-task and appropriately prioritize responsibilities in a fast-paced environment, with strong focus on attention to detail, meeting deadlines, and excellent communication skills
• Flexible, self-motivated team player with ability to work quickly and efficiently with minimal supervision, and willingness to support other team members as needed
• Excellent organizational, planning, and project management skills
• Excellent attention to detail and customer services skills, maintaining a positive attitude and approachable demeanor
• Must demonstrate professionalism, operate with integrity, and maintain confidentiality
• Ability to anticipate and effectively problem-solve
• Has basic knowledge and skills with office hardware and software (including the Microsoft Office products such as Excel, Word & PowerPoint).
Required Education
• Bachelor's degree and/or equivalent experience
