Full Time Job
The Recurring X Games Event Coordinator position provides coordinator level support for the X Games. This position will be based in the Bristol, CT office. This position will collaborate across all X Games Departments related to SAP administration, establishing purchase orders, processing invoices, contract administration, meeting planning, insurance claims management, budget management and reporting. In addition, this position serves as the X Games onsite lead for staff services and staff catering. This position will also collaborate with all X Games Departments during X Games events related to event payroll, travel/transportation administration, accommodation/hotel planning, event vendor set-ups, credentials, event load-in. This position reports to the Associate Manager, Business Operations on the X Games team.
Responsibilities
• On site at each X Games event, maintain a clean, organized, and presentable environment that is conducive to a positive and efficient working environment.
• Assist in compiling monthly office newsletters, corporate email reminders, and general operating procedures as needed.
• Arrange and schedule office space for visiting staff and facilitate meetings as needed.
• Assist in the onboarding process for all new event workers as needed.
• May be required to assist with event payroll, petty cash, insurance certifications, or injury claims reporting and tracking.
• Assist in special projects including but not limited to databases, housing projects, and basic budget management functions.
• Responsible for assisting with SAP administration, purchase orders, processing invoices, contract administration, meeting planning.
• X Games on-site lead for staff services, staff catering.
• Other on-site event duties: event payroll, travel/transportation administration, accommodation/hotel planning, event vendor set-ups, credentials, event load-in.
Basic Qualifications
• 1 year event experience
• Proficient in all Microsoft Office Programs
• Must be team-focused with the ability to get things done timely and efficiently.
• Must be organized, personable, resourceful, efficient, dependable, and proactive.
• Able to multitask and stay calm in a fast paced environment.
• Must be willing to Travel
Preferred Qualifications
• 2 year's event experience
• Bachelor's degree in sport management or related field
• Previous experience leading specific event functions
Required Education
• Minimum 2 years college or equivalent
Preferred Education
• Bachelor's degree recommended
