Administrative Assistant I - Longhorn Network (Part-Time)
Job Summary:
The Longhorn Network part time Administrative Assistant coordinates the administrative activities in the LHN office in Austin by maintaining internal and external daily operations for its staff. This position also supports the production & programming teams by assisting with key events. This is a part time position (up to 29 hours per week).
Responsibilities:
• Provide Administrative support for Longhorn Network, with particular emphasis in assisting studio and event production teams.
• Executes a wide variety of administrative tasks, e.g., maintain conference room and vehicle calendars, facilitate payment of vendor invoices, security arrangements for visitors, correspondence preparation and distribution.
• Maintain master contact and distribution list for the department.
• Arrange and schedule office space for visiting staff and assist in the onboarding process for new staff.
• Coordinates catering as needed for studio and event production and department events.
• Order/maintain LHN branded attire for on-air talent and staff.
• Purchases office supplies (ordering business cards, notebooks, pens, and restock kitchen supplies, etc.).
• Office management as needed, i.e. coordination of Town Halls, on-site events, order business cards, and kitchen supplies.
• Point of contact to UT for student job fairs.
• Point of contact for all aspects of safety, emergency procedures, first aid training, and monthly AED Testing.
• Responsible for distribution of all mail and packages.
• Facilitate outsourced IT support through Disney approved vendors.
• Interface with building management, including parking garage validation.
• Other administrative projects as requested.
Basic Qualifications:
• 2 years of experience as an office coordinator, receptionist, or other administrative role.
• Organized, team player, self-starter, efficient, dependable, multi-tasker and proactive.
• Basic knowledge of administrative support processes and procedures carried out in the department.
• Ability to work on multiple projects at one time and under deadlines.
• Basic knowledge of college sports, especially UT sports season and schedules.
Required Education
• 2 Year Associate's Degree or equivalent experience
