Our Client a Small Professional Design firm in the Burbank area is seeking an Office Administrative assistant with accounting-payroll experience. The ideal candidate will have strong QuickBooks skills, a positive, can-do attitude, be organized, self-motivated, and be willing and able to learn and contribute to a growing firm.
Responsibilities
• QuickBooks Data Entry, Run Reports, Reconcile Accounts, General Journal Entry, Provide Data to CPA
• Prepare Documents using Word and Excel. Proficient with business documents, formatting, and Excel formulas
• Prepare Invoices for approval and sending
• Manage and report on Accounts Receivable and Accounts Payable
• Work with our benefits administration firm to manage 401k and Health Insurance and, other benefit plans
• Coordinate with Payroll company for W2, 1099, other employer/employee taxes
• Prepare and File Sales Tax, Property tax returns, Etc.
• Job and Expense Entry and Tracking
• Gather Payroll information (timecards data, W-4 and W-9 forms, etc.) and submit to payroll processing company
• Work with Travel Agent and Project Teams to coordinate air and hotel bookings
• Manage corporate contact list and calendar
• Send/Receive mail
• Light Phones
• Banking Deposits
• Filing
Requirements
• 4 to 5 years' experience in an office administrative role
• Strong QuickBooks and Excel skills (proficient with business documents, formatting, and Excel formulas preferred.)
• Hands-on experience working with spreadsheets and financial reports
