Please note - this is a hybrid role in Los Angeles, and not remote.
Major television network and media production company in Los Angeles has an immediate need for an Executive Assistant to support their Chief Human Resources Officer. The ideal candidate should have experience supporting a C-level Executive, experience working in a corporate entertainment-based environment, and preferably a long-term interest in Human Resources.
In this role, the Executive Assistant will manage the day-to-day operations for the CHRO and will interact with employees and executives, as well as industry executives and vendors. In addition, the EA will be responsible for handling confidential information, scheduling meetings, processing expense reports, travel coordination/itineraries, preparing PowerPoint presentations, and written correspondence.
Responsibilities
• Serve as the primary contact for the CHRO to all executives and their departments, and external vendors and agencies.
• Manage and control the daily schedule of the CHRO using judgement and discretion.
• Prepare, review, and analyze expense reports prior to submission for appropriate approvals.
• In the absence of the CHRO and as authorized, communicate confidential and sensitive information.
• Schedule all travel arrangements including hotel accommodations, airline reservations, ground transportation, and off-site meeting venues, as well as monitoring travel progress (including outside of core hours).
• Oversee the execution of large-scale in-house meetings and work sessions.
• Track vendor contract renewals, manage invoice processing, track department purchase orders, and establish necessary accruals for services.
• Support departmental projects as needed.
Requirements
• Undergraduate Degree or equivalent Executive Assistant experience in an entertainment-based organization.
• Minimum of 3 years of experience supporting a C-level executive.
• Skilled in MS Office suite: Word, Excel, PowerPoint, and MS Outlook, as well as Zoom and Slack.
• Excellent organization, presentation, and communication skills with the ability to handle sensitive and confidential information, and ability to communicate with employees at all levels.
• Long-term interest in Human Resources preferred.
