Job Responsibilities:
Donut Media and General Population work collaboratively together and share office space. We are seeking a dedicated office manager/front desk manager, a self-motivated and detail-oriented individual, to join our shared space at GenPop/Donut Media. As our Office Manager in West LA, you would be supporting and manage an exciting and growing office.
Responsibilities Include:
-Welcoming visitors and clients into our space with enthusiasm, in a manner that follows employee and department directories.
-Greeting callers and maintaining our telephone line, taking messages, and creating call logs for client inquiries and general questions
-Following security protocol and console operation, ensuring that the office is secured in the morning and evening
-Directly supervising and delegating office and production tasks to our office PA
-Managing and tracking shared office calendars between both teams
-Maintaining a clean and organized front office area
-Managing deliveries & outgoing mail, including time sensitive deliveries
-Ordering groceries and various office supplies as needed
-Ordering staff lunches on occasion
-Purchasing reference material or in-house photo-shoot props as needed
-Coordinating parking lot rentals and visitor validation
-Coordinating with various office vendors
-Performing general administrative support for account executives
-Managing staff birthdays (stocking desserts, birthday cards and gift cards day of)
-Planning annual company parties, holiday dinners, etc.
-Booking travel as needed
-Researching trade news and compiling a weekly digest of potential future projects
-Contributes to team effort by accomplishing related results as needed.
Requirements:
-2-3 Years experience in either Executive Support, Office Services, or Office Management focused roles, with an enthusiasm for career Office Management
-Previous reception/office experience (with great phone etiquette)
-Excellent communication skills: a friendly, personable, and professional demeanor
-Strong computer skills, using communication tools such as Slack, and programs such as the Microsoft Suite and Google account related programs
-Highly organized and able to multitask, with an attention to detail and deadlines
-Responsible, reliable, and trustworthy, able to maintain confidentiality of highly sensitive documents and information
-Ability to work overtime on occasion
Hours are between 9:30am and 6:30pm Monday through Friday, with potential for overtime (compensated.)
