Our Team
Global Talent Management & Operations (GTMO) is the connective tissue between on-air and digital series external Talent and the global businesses of Discovery Communications. GTMOs mission is to effectively manage the Talent business strategy, prioritize activities outside of Production, align with Production, and optimize global operations.
As the Talent’s key relationship holder with Discovery Communications, GTMO strategically manages the relationships with the Talent, their representatives, production and internal clients. GTMO responsibilities include onboarding, coaching, advocating, prioritizing and leveraging the Talent to drive business value for ratings, revenue, relationships, renewals and brands.
The Role
The Talent Coordinator will reside in the GTMO team and provide operational support for the Director of Talent Operations, the VP of Talent Operations & Strategy, and the GTMO team.
The Coordinator will provide operational support, including
• Coordinate projects, monitor project milestones and deadlines, prepare status reports, manage data and communicate with clients internal to and external from the GTMO team;
• Support various systems, reports and operations, including enter, manage and run reports on confidential and strategic information in CRM system known as STACI according to established data management quality standards in a timely, accurate, consistent, efficient and effective records management, and comply with Talent and DCI’s contractual obligations;
• Support Talent Management function by coordinating Talents’ schedules, logistics, travel, gifting, and payments aligned with contractual terms in a timely and professional manner, including interacting with clients internal to and external from the GTMO team, and Talent and their representatives;
• Collaborate closely with the GTMO team to ensure business priority access to Talent, understand contractual compliance, troubleshoot Talent issues and leverage Talent and deals in order to support content, events and network and corporate business initiatives;
• Coordinate Talent payment setup and reseach payments, including interacting with clients internal to and external from the GTMO team, and Talent and their representatives
• Provide administrative support for travel, expenses and scheduling for VP
• Report to the Director of Operations
Responsibilities
Talent Management Support
1. Support Talent Management function by coordinating Talents’ schedules, logistics, travel, gifting, and payments aligned with contractual terms in a timely and professional manner, including interacting with clients internal to and external from the GTMO team, and Talent and their representatives;
2. Collaborate closely with the GTMO team to ensure business priority access to Talent, understand contractual compliance, troubleshoot Talent issues and leverage Talent and deals in order to support content, events and network and corporate business initiatives;
3. Research and draft deal summaries related to travel, image & likeness and promotional rights and enter in STACI
4. Acquire and input Talent personal data as well as preferences and behavioral information
5. Input Talent information pertaining to product usage and Ad Sales relevancy
6. Track days of Talent’s service against deal terms
7. Maintain schedules for Talent’s records in STACI, including unsolicited, external requests and those of JVs
8. Support Talent Management to secure Talent’s travel by understanding travel requirements in compliance with Talent contracts/deals/arrangements
9. Understand symbiotic business relationships within Discovery and the contractual arrangements related to Talent appearances to support internal clients
10. Staff Talent at events, as requested
Project Coordination
1. Coordinate projects, monitor project milestones and deadlines, prepare status reports, manage data and communicate with clients internal to and external from the GTMO team
2. Support numerous projects in a dynamic environment ensuring and communicating clear prioritization to GTMO team while recognizing and appreciating the additional projects that member of the GTMO team have outside of these central/ operational projects
3. Support and coordinate projects with clear milestones and expectations, ensure quality delivery to meet deadlines, support GTMO team and clients in understanding context of project and priority, and communicate proactive and continuous status of projects
4. Support and coordinate on projects for cross-company and network events and Talent activitations, including Upfronts, Shark Week and year-end gifting, affiliate renewals, social media activations, marketing shoots, corporate events and initiatives
5. Support GTMO team with GO, US network social teams, and GTMO team to promote upcoming content, including show and original content on Talent’s social handles, and own regular report to GO executives on impact of Talent social posts
Operations
1. Support various systems, reports and operations, including enter, manage and run reports on confidential and strategic information in CRM system known as STACI according to established data management quality standards in a timely, accurate, consistent, efficient and effective records management, and comply with Talent and DCI’s contractual obligations;
2. Support operational workflow of GTMO team initiatives and tasks. Implement and maintain evolving processes and procedure to ensure group efficiency.
3. Track and help manage internal requests as well as external requests from partners, clients, and third parties for various Talent across Discovery & Eurosport
4. Identify operational needs and service, and liaise with and contribute to the centralized Operations team – to provide support in travel, payments, tracking, reporting, etc.
5. Support GTMO team with best practice resources and materials, including onboarding, brand profiles, social media templates, presentations, etc
6. Function as administrative liaison to departmental staff, network teams, supporting groups, as well as Talent, agencies, and representation
7. Coordinate Talent payment setup and reseach payments, including interacting with clients internal to and external from the GTMO team, and Talent and their representatives
a. Coordinate monthly review of Talent budget
b. Submit related budget reclassifications and monitor for anomalies
8. Attend internal meetings as needed to represent Talent team, learn, contribute and report back on Talent related requests and issues.
9. Schedule, organize, and coordinate internal and external meetings.
10. Embrace and contribute to best practices in global Talent Management and operational excellence
11. Provide administrative support for travel, expenses and scheduling for VP
12. Perform other administrative and related duties as assigned.
