Discovery, Inc., the new global leader in real life entertainment with powerful brands such as Discovery Channel, TLC, Animal Planet, HGTV, Food Network, and Travel Channel, is searching for a Meetings & Events Coordinator in Knoxville, TN to join our Travel Services team.
The Meetings & Events Coordinator is responsible for successfully implementing global meetings & events in support of business objectives under the direction of VP, Travel Services; identifying organizational needs for meeting services; providing input into the optimization and utilization of external and internal resources/vendors; and tracking and maintaining budget information.
Responsibilities
Ability to handle all aspects of event planning process, such as:
1. Maintain vendor contact list
2. Maintain and create strong relationship with vendors
3. Conduct site inspections as needed (create fact sheet)
4. Create and submit RFP documents to prospective vendors
5. Negotiate contract terms
6. Coordinate legal approval of all contracts with Discovery Legal Counsel
7. Coordinate attendee registration
8. Room block management
On-Site Logistics management
1. Ground transportation – sourcing, booking and monitoring
2. Creating and managing Arrivals/Departures manifest
3. Manage the selection and ordering of all food & beverage needs and ensure vendor’s delivery of these items during the event
4. Understand business unit’s A/V requirements and ensure all requested equipment is installed and in working condition prior to event
5. Provide check-in and registration support as needed
6. Ensure meeting space is in order prior to event, ensure all catering and A/V requirements are in order and work with business unit contact to ensure smooth flow of their agenda and all their needs and expectations are met
After Event Review
1. Reconcile the master bill provided by the venue to ensure accuracy of billing, present final bill to business unit for review and authorize payment
2. Seek feedback/debrief with group organizer
3. Create value add report to share with group organizer and with Discovery travel management
Handle all aspects of group travel
1. Negotiate & manage group air
2. Send confirmations to group attendees
3. Coordinate & communicate deviations to event coordinator
4. Provide arrival & departure manifest to event coordinator
Requirements
* Bachelor’s degree in a related field of study (event management, hospitality, communication, marketing, business, etc.)
* Previous internship experience in events, hospitality or media/entertainment space highly preferred.
* Aptitude to multi-task/plan numerous meetings simultaneously while still demonstrating a strong attention to detail
Ability to work both independently and cooperatively within a team environment.
* Prepared to work flexible schedules, extended hours and/or weekends to meet event needs
* Attention to detail and accuracy as well as strong organizational skills
* Excellent written and verbal communication skills
* Working knowledge of the hospitality / events / travel industry
* Ability to travel (domestically and internationally)
* Knowledge of Microsoft Office suite of products
* Must have the legal right to work in the United States
