Administrative Assistant to SVP P&C Partner and VP P&C Partner and Operations
Position Summary
The role will provide dedicated PA support and general admin duties for two P&C leaders based in Knoxville and provide general support for the People & Culture department in Knoxville.
This role will require the highest level of confidentiality, discretion and flexibility and will include a wide range of duties. As with any PA position, the roles supported by the PA may change from time to time.
Responsibilities
• To provide full support including acting as first point of contact for internal and external contacts, clients and service providers
• Extensive calendar management and coordination with other support staff around the company
• Schedule, organize and coordinate meetings, meeting agendas and meeting locations, including all-hands
• Partner with travel services to organize domestic and international travel, transport & hotel arrangements and arrange travel itineraries as required. Check and keep track of air miles, travel insurance and other programs via Concur and other corporate tools
• Manage team time off and special occasion tracker
• Respond to internal and external inquiries and routine information
• Prepare purchase orders, submit and track monthly expense claims as required
• Prepare letters, memos, presentations and other documents.
• Coordinate with legal and Operations teams to prepare and load confidential employment agreements and terms
• Support team projects such as P&C document management and employee filing
• Support Learning & Development events and trainings as needed.
• Support Compensation & Benefits including confidential materials, presentations, mailings and other support activities as needed
• Support members of the P&C department who travel to Knoxville with security, office space and meeting needs.
• Provide support with local onboarding and new hire orientation when needed
• Manage occasional cross time zone support and requests
Requirements
• Experience as a Team Assistant or PA is preferred but not required.
• Pro-active, professional and personable attitude.
• Must be able to communicate well with people at all levels including SVPs and above.
• Discretion, professional and personable attitude at all levels.
• Sound document skills, including Microsoft Office and Google Sheets
• Highly organized and ability to work on own initiative.
• Diligent, accurate, methodical with a good eye for detail.
• To be adaptable, flexible, committed and commercially aware.
• Able to cope with a fast-paced and demanding work environment.
