Compensation & Benefits Coordinator (12 month FTC)
Job Summary:
We have a new opportunity for a Compensation & Benefits Coordinator to join the C&B team on a 12 month fixed term contract in our EMEA head office in Hammersmith, London.
As a specialised function within the wider EMEA Human Resources department, the Compensation & Benefits (C&B) team partners with multiple internal (e.g. HR Business Partners, HR Operations, Payroll) and external (e.g. benefit providers) stakeholders to provide a proactive, effective and professional service.
This opportunity interacts with all lines of business to provide Employee Benefits administration and support. From time to time, this role will also provide support to the wider EMEA compensation team during peak periods.
The Compensation & Benefits Coordinator will assist the Benefits Manager with all cyclical and day-to-day benefits activity. The primary focus will be building relationships with providers, HR stakeholders, other internal departments and the wider employee workforce. There will be some routine administration and weekly/monthly reporting activities with strict deadlines to adhere to. The scope of this role will allow exposure to project work on an ad hoc basis.
Responsibilities:
• Maintain the administration of the Company's UK employee benefits website, undertaking regular reconciliation exercises and responding to employee queries
• Responsible for the setup of new vendors, timely payment of invoices and purchase card reconciliations for all UK Benefit providers via SAP
• Maintain the Compensation & Benefits intranet pages and links so that the latest and most accurate information is displayed
• Ensure customer service standards are maintained with the Compensation & Benefits team, the wider HR community and the Company itself
• Use advanced Excel and investigation skills to regularly reconcile populations and memberships and troubleshoot anomalies
• Manage expectations and ensure the client (internal or external) receives first class customer service in an appropriate, timely and proactive manner. This may involve correspondence with telephone, email, letter, redirection to other teams and self-service systems and where necessary, escalation of more serious matters to the Benefits Manager who will provide guidance on next steps
• Accurately coordinate the communication of monthly payroll data and information
• In partnership with the Internal Communications team, proactively design and launch regular employee campaigns to highlight relevant information and updates
• Assist with pension queries which may come from employees, the payroll team or our pension administrators
• Manage the UK recognition award scheme, ensuring relevant approvals are obtained, vouchers ordered or bonuses are paid and certificates are designed and distributed
• Providing a vital link between the Business Partners and our providers to assist with the management of all UK occupational health and income protection cases
Skills
and Experience
• Experience in an employee benefits administrative role within a HR team is advantageous
• SAP knowledge essential
• Strong numerical and analytical skills
• Ability to work in a confidential environment
• High level of IT literacy and proficient use of Microsoft Excel (including formulas and manipulate data)
• High level of accuracy, both grammatical and numerical and process driven
• Self Starter who is able to work on own initiative with excellent organisation and prioritisation skills
• Degree level education or equivalent experience
• Strong administrative skills
• Interest in HR practices and a basic understanding of HR tools and processes
• Client focussed with an ability to demonstrate sensitivity
• Ability to analyse, question, problem solve and communicate
