Purpose of the job:
The HR Coordinator provides administrative support for multiple departments, including Human Resources, Recruiting and Legal. This position requires a high degree of confidentiality and discretion.
Essential Functions/Responsibilities:
HR Administration
• Perform transactional administration at all stages of employee status, including onboarding, exits, status changes, transfers and conversions, etc. Tasks includes heavy data entry, generating offer letters, preparing onboarding and offboarding packets, regular and ad hoc reporting, and regular audits to ensure integrity of data.
• Maintain and update physical employee files (personnel, medical, 401K, immigration, etc).
• Review and prepare US Benefits bills and conducts regular audits to ensure accuracy.
• Support a variety of internal studio and cross-studio functions to assist with the smooth transition of new hires and international transfers.
• Review and facilitate employment inquiries, including employment verifications and unemployment claims.
• Prepare and process purchase/check requisitions as needed.
• Assists with other HR related duties as assigned.
Legal Support
• Track contract expirations and flag Senior HR Manager with upcoming due dates.
• Liaise with Immigration Attorneys and facilitate immigration/visa paperwork as needed.
• Assist General Counsel with processing of Independent Contractor Agreements.
Recruiting Support
• Wrangle interview times and locations.
• Host interviews, greet candidates, wrangle participants, tidy rooms for in-person meetings and/or assist with VTC set up as needed.
Other duties as necessary to support the HR team and functions.
Education and/or Experience Required:
• Bachelor's degree in Human Resources, Organizational Behavior, Business Administration, or related field.
• 1+ years of HR experience, particularly with data administration and reporting.
• Extensive experience with Excel is highly preferred. Strong familiarity with pivot tables and formulas such as vlookups, if, counta, concatenate, etc.
• Experience in a fast-paced, project drive and innovative industry such as visual effects, animation, technology, film, TV, or advertising is preferred.
• Experience of Word and Google Apps, including Gmail, Calendar and Drive is preferred.
• Experience in PowerPoint is a plus.
Skills, Abilities, Special Licenses or Certificate:
• Must be a self-starter and detail oriented.
• High ability to efficiently and accurately processing data.
• Excellent verbal and written communication, organization, and time management skills.
• Strict adherence to confidentiality and high ethical standards with proven ability to deal with sensitive and confidential information.
• Ability to prioritize and complete a wide variety of tasks efficiently within a high-pressure and shifting environment while meeting strict deadlines.
• A desire to grow and learn. The ability to seek out answers from supervisors and other sources. The ability to evaluate current practices and show the initiative to recommend solutions for more efficient processes within one's purview.
• A desire to work in a team environment, where collaboration is appreciated.
