dick clark productions, a diverse entertainment company and producer of a wide range of television programming, including awards shows, specials, and reality series, is seeking a highly qualified Music Clearance Administrator. This position will be based in Santa Monica.
Job Responsibilities:
For all DCP shows featuring music:
Create check requests and along with corresponding licenses then submit to VP, Clearances for signatures.
Make copies of signed check requests, licenses, invoices and tax forms to submit to DCP or applicable accounting departments for payment processing.
Work closely with accounting department for any payment issues that may arise.
Once checks are received from accounting, prepare payment cover letters detailing payment information, production title, song information, etc.
Make copies of checks, licenses, payment cover letters and other documents for our records and send payment packet to licensors.
Create show binder(s) and file packets containing all supporting documents, including copies of checks, cover letters, check requests and executed license agreements.
Follow up with any licensors who have not issued licenses or have not returned dcp license agreements.
Maintain all physical and digital music files, binders and grids.
Answer general music clearance questions on an on-going basis.
Research song ownership using various online resources including, but not limited to, ASCAP, BMI, SESAC, Global Music Rights, Harry Fox Agency for publishers and All Music Guide and Discogs for master recordings.
Create and update regularly the song status grid, which includes production/show name, song titles, writer(s) and publisher/label information, episode # (when applicable), percentage shares, use and timing of songs, breakdown of fees for initial rights and any options (when applicable). Cross reference documents, data, etc. with clearance team associates.
Maintain relationships with publishers, labels, managers, agents, legal representatives, internal staff and external business partners.
Assist in administrative tasks across the entire Clearance Department.
For DCP shows produced off-site:
Work closely with music supervisor(s) and his/her team to obtain list of songs to be used in each episode, approval letters from publishers and labels, episode music budgets, etc.
Create and maintain a log of all packets (check requests, licenses, invoice, tax forms) sent to off-site production accountant with payment requests. Maintain log featuring company name, song(s) used and fees for initial, foreign option and internet streaming fees.
Maintain Clearance Department licenses between 500 and 800 songs for these off-site shows, with multiple licensors per song.
Submit to off-site production accountant batch of packets ready for processing via messenger.
Qualifications and Job Requirements:
1-3 years of experience in music clearance, music publishing/licensing, contract administration and/or music legal.
Knowledge of music clearance and music licensing procedures, as well as, an understanding of agreements pertaining to music publishing, including but not limited to territory, term and media.
Existing relationships with music publishers, record labels, attorneys, agents, etc.
Experience in a production company, film/television studio or television network is highly preferred.
Comprehensive research and follow-up skills with quick turnaround and accurate results. Someone who would exhaust all available resources.
High attention to detail, exceptional written/verbal communication skills and extremely organized.
Strong math skills. Including but not limited to, a strong understanding of music ownership with the ability to calculate accurate percentages in terms of publishing and master splits.
Ability to work proactively and independently on multiple projects under tight deadlines in a fast-paced production environment.
Ability to work well with others.
Proficient in Microsoft Office, Word, Excel and use of the Internet.
