Full Time Job
We are looking for a Reception/Client Services Team Member to assist in the day to day operations of our Vancouver studio. They will be responsible for handling front office reception and administration duties, including but not limited to, greeting clients and guests, answering phones, handling company inquiries, as well as sorting and distributing mail.
Duties & Responsibilities:
• Facilitate department workflow by submitting tickets (Facilities), planning internal meetings, etc.
• First point of contact for shipping/receiving and delivery drivers
• Work with Resource Management and Technical Operations to prepare for onboard activations and offboard deactivations
• Activate / Deactivate personnel badges and maintain security badge database.
• Manage employee contact database, update phone and extension lists.
• Employee vehicle parking allocation & parking pass management.
• Receive & publish all absent / out of office notifications to the internal info page for time & attendance communication/logging.
• Daily management of company internal website (company attendance, event notices).
• Sign in / Sign out visitors and maintain date and time log daily to comply with MPAA Physical & Digital Security guidelines.
• Purchase items for Operations and Client Services as needed.
• Prepare, manage and reconcile monthly Operations and Client Services corporate credit card bank statements.
• Prepare daily call sheet for listing artists / projects / clients bookings.
• Order, pick-up, arrange, and deliver food and beverage to Clients and visitors as requested
• Coordinate planning for client arrival preparations.
• Assist Operations Coordinator with Social networking / marketing initiatives (Method Twitter/LinkedIn/Instagram accounts).
• Assist Talent Acquisition with candidates and interviews as needed
• Update email distribution lists as necessary
• Other responsibilities upon request.
