The Executive Assistant to the President position is based in the Arlington/Fort Worth area. They community of Arlington ranks among the 48 most populous cities in the country and is located precisely midway between Dallas and Fort Worth. Fort Worth offers more than 200 open air patio restaurants as well as several exciting venues to keep you entertained!
She/He/They will assist the President of the Dallas Wings and Panther City Lacrosse Club in various projects and serve as the President's key strategic partner.
RESPONSIBILITIES/DUTIES
• Serve as the Executive Assistant to the President, responsible for making time, information, and decision processes more effective. Provides support by prioritizing schedules & focus, identifying where the President needs to direct their focus and ensuring President involvement &/or decision making is at the appropriate time. This includes but is not limited to:
• Assist President with daily calendar and/or email
• Manage all travel logistics for President, ensuring ticketing plans are made timely and within preferences
• Maintain Presidential contact list & information
• Lead material creation and distribution for President-level meetings.
• Supports President in meetings with documentation of decisions and assuming responsibility for completion of action items. This includes ensuring timely and effective completion of projects and initiatives.
• Serve as the liaison between the teams and the ownership groups, ensuring an effective flow of communications. This includes ensuring meeting materials are sent in advance, time is well spent, and objectives are achieved.
• Maintain official organizational calendar
• Administer daily office function to include, but not limited to:
• Liaison between building & cleaning vendor, ensuring office is clean and well maintained
• Ensure office supplies are stocked at the appropriate timing and levels, using company discounts where appropriate
• Working with the VP of Business Operations co-manage key office vendor relationships
• Manage all food & beverage orders for the office and events
• Assist HR with coordinating welcome packets and onboarding process for new hires
• Responsible for Event Planning for the President including but not limited to:
• Coordinate logistics/guest lists/RSVPs for Presidential invites
• Plan all facets of President-driven special events
• Assist planning on revenue-related events for corporate partnerships and ticket sales departments
• Responsible for key game day operations including but not limited to:
• Coordinate RSVPs and logistics for VIP guests
• Assist with game day needs of ownership group
• Support any special needs of the President
• Other duties as assigned
EDUCATION AND EXPERIENCE:
• Formal Education: Bachelor's degree or equivalent experience is preferred
• Relevant Work Experience:
• Minimum of 2 years' experience as a traditional Executive Assistant to a CEO preferred
• Sports industry experience in marketing, event management or like experience preferred
JOB REQUIREMENTS:
• Demonstrates a high level of administrative competence and excels in organizing, planning, prioritizing, and time management
• On call & Ready to serve whenever she/he/they is/are needed by the President
• Able to work under pressure with calmness & steadiness
• Strong verbal & written communication skills, including ability to adjust communication style to effectively communicate with various styles
• Self-motivated and able to work independently
• Results & Task oriented
• High sense of urgency, punctual, & strong work ethic
• Proficiency with PC Windows-based software, including Microsoft Office applications
• Excellent analytical and problem-solving skills
• Ability to lead projects involving complex themes and varying timelines Able to work in office & arena. Remote work is not applicable.
• Having good knowledge of Arlington and Fort Worth areas and their main attractions
• This role is expected to attend ALL home games for all sports franchises, as well as other live events that may take place on holidays or weekends
