Position Overview
The Executive Assistant (''EA'') position directly supports the CEO, ranging in scope from the oversight of the most micro detail to a big picture understanding of long term business goals. The ideal candidate is a creative problem solver who won't take no for an answer, that can anticipate company needs, and is an ambitious self-starter who isn't afraid to ask questions.
The EA will perform duties that can have an effect on the success the business, such as helping with marketing research, training staff, and scheduling important meetings. Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy as well as a practical knowledge of the practices and procedures of the function, general company policies, and programs.
The EA is responsible for supporting senior-level tasks and communications while optimizing time, efficiency, and focus. The EA must have the ability to organize a busy calendar, draft internal communications, and manage other projects, as assigned. You must be detail-oriented, resourceful, and able to manage multiple projects simultaneously; all while maintaining a professional, confidential, and positive attitude.

Position Requirements
3+ years in a full-time position assisting a C-level executive, utilizing the skills referenced above
Excellent written, verbal and interpersonal communication skills
Extremely detail and follow-through oriented. This cannot be overstated
A track record of supporting multiple projects at once with tight deadlines
Personal initiative and a proactive, problem-solving mindset
A genuine interest in this position and furthering the diverse goals of our clients
Experience working with social media and/or graphic design software is a plus
Solid experience with office management systems, CRM's, project management software, and MS Office
Familiarity with online calendars and cloud systems
Experience using office equipment, including printers and fax machines
Experience exercising discretion and confidentiality with sensitive company information
Responsibilities
Coordinate daily calendars of senior managers
Plan appointments and events
Act as the point of contact between executives and employees
Create regular reports and update internal databases
Make travel arrangements
Manage phone calls and emails
Respond promptly to managers' queries
Facilitate internal communication (e.g. distribute information and schedule presentations)
Suggest more efficient ways to run the office and troubleshoot malfunctions
Review and recommend changes to our company policies
Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
Maintain client confidence and protect operations by keeping information strictly confidential
Provide historical reference by developing and utilizing data filing and retrieval systems
Maintain office supply inventory by checking stock to determine inventory level; anticipate needed supplies; evaluate new office products; place orders
Ensure operation of equipment by completing preventive maintenance requirements; follow manufacturer's instructions; troubleshoot malfunctions; call for repairs; evaluate new equipment and techniques.
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
