Back Office Support Staff (B.O.S.S.) / Valet
Entertainment law firm
Reports to: Director of Human Resources & Administration
Job Summary
To perform operations duties of Firm related matters within the building to ensure smooth execution of
daily activities and provide an exceptional service experience.
Essential Functions
- Provide valet services as needed while maintaining a welcoming greeting and clean valet area
- Keep the mailroom, file room, and supply room orderly and tidy, including organization of
supplies, merchandise, and mail orders etc.
- Performs light cleaning duties to maintain establishment & provide exceptional service, including
kitchen areas and conference rooms
- Stocking; manage ordering and inventory for supplies ensuring the Firm has adequate inventory
- Prepare; clearing of meetings, ensuring all necessary tableware to the designated area, and
clean, sort and stack silverware, dishes, and glassware in its proper place; including food
beverage transportation
- Follow file room; offsite filing procedures and policies, including assisting in location of files
- Provide necessary filing for other operations departments when necessary
- Address copier and scanner needs and assist in initial repairs as needed
- Facilities coordination (e.g., working with building engineers/outside vendors for facilities-related
matters)
- User take downs / disconnects and moves possibly setups for firm phones, computers; related
accessories
- Ensure all IT related equipment has the necessary items in order to function properly (i.e. battery
replacements)
- Coordinate pick-up and delivery of packages and communicate to staff regarding deliveries for
the day
- Separate and process all incoming and outgoing mail as needed
- Facilitate; support ticketing system request
- Assist with new employee training by positively reinforcing successful performance and offer
assistance as needed
- Miscellaneous administrative tasks and special projects and other duties, as requested
Job Requirements and Qualifications
- 2-3 years of valet experience
- Ability to handle multiple requests, work in a fast-paced environment, and be responsive to staff
requests/service issues.
- Well organized with sharp attention to detail, and proactive in addressing Firm operations
- Must be resourceful, flexible and able to adapt to frequently changing priorities
- Basic computer skills required (i.e., some knowledge of Word or Excel)
- Basic office skills required (i.e. phone functions, supply ordering, photocopying)
- Contribute to overall success of the Firm by being a collaborative team player
- Maintain professional attitude and demeanor
- Maintain standards of confidentiality at all times with respect to both Firm business and Firm
personnel
- Must be punctual and dependable
- Ability to work overtime, as required
- High school education or GED preferred or equivalent work experience of 3-5 years relevant
work experience
Physical Requirements
While performing the duties of the job, this position requires an individual to stand, sit, or walk for an
extended period of time or for an entire work shift. Park and relocate cars. Move, lift, carry, push, pull,
and place objects weighing less than or equal to 25 pounds without assistance.
